Summary/Objective:
The Exhibition Graphic Design Specialist is responsible for ensuring that the exhibition design, production, and installation process is coordinated and executed smoothly. This includes creating, updating, and presenting design concepts and templates, working with external vendors for estimates and budgeting, tracking various project stages, and maintaining exhibition presentation materials. When assigned as Graphic Lead by management on specific projects, the specialist is expected to own the design process from initial concepts through installation and close-out.The Specialist will work closely with internal clients and external vendors to coordinate exhibition design work, ensuring accuracy, quality control, adherence to deadlines, and budget requirements. They may also collaborate with freelance designers and interns. A portfolio submission is required for consideration.

Essential Functions of the Job:
- Organize and coordinate graphics timelines: document and track phases via Airtable.
- Organize and coordinate reproduction timelines: document and track phases via Airtable. May require coordinating with curators for press proofing and signoffs (facsimiles and replicas).
- Organize and coordinate didactic timelines: document and track phases via Airtable. May require coordinating with curators and the publication team for production, press proofing, and signoffs (labels and wall texts).
- Organize and coordinate vendor processes from estimates to invoices, and scouts to installs. May require coordinating with Internal and Security teams (vendor schedule, contact details, badge and permit requests, onsite booking via Resource Scheduler).
- Track estimates and invoices, routing all necessary information for approval and payment.
- Work with internal collaborators (e.g., Editorial, Exhibition Design, Curatorial, Collections, Exhibition Install, Exhibition Fabrication) on workflow, processes, and timelines.
- Coordinate with the Media team to deliver digital layouts for final editing.
- Photo editing: sizing, retouching, pre-press, etc.
- Coordinate freelancer schedules and availability and work closely with them to ensure quality control and deliverables are met on time.
- Provide design and production support for special exhibitions.
Required Competencies:
- A bachelor's degree in graphic design, visual communications, fine arts, or related field.
- 2+ years of design-related work experience.
- A portfolio of produced work demonstrating a degree of creativity, diversity, productivity, and showcasing conceptual, color, and layout skills. Strong typographical skills required.
- Knowledge and experience working with and printing on various substrates and materials.
- Advanced experience in Adobe InDesign, Illustrator, and Photoshop.
- Working knowledge of Microsoft Office, Outlook, Airtable, and Slack.
- Creative, conceptual, and critical thinking abilities with attention to detail and the ability to proofread to produce accurate and high-quality work.
- Experience working independently and effectively with others, managing deadlines, budgets, clients, and vendors.
- Experience managing print production and trafficking jobs with knowledge of paper and printing processes.
- Strong written, presentation, and verbal communication skills.
- Ability to multitask with excellent organizational, time management, and problem-solving skills. Must be able to create an organized production schedule that incorporates time for both scheduled and unscheduled projects.

Preferred Qualifications:
- An MFA preferred.

Compensation: The expected base salary for this role is $27.40 per hour. The actual base pay offered will be determined by factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
