Job Description and Requirements
The Accounts Payable Specialist will complete payments and controls expenses by receiving, verifying, distributing, and processing invoices and employee expense reports. Ensure the timely and accurate entry of all vendor invoices. Provide courteous and professional assistance and resolution to vendors, branches, and departments.
This position is for our ASC location, (main campus) located at: 1 Ikea-RBFCU Pkwy, Live Oak, TX 78233. The Accounts Payable Specialist will have the ability to work a hybrid schedule after the successful completion of training. The training period can vary and will take place at the RBFCU Administrative Service Center – Live Oak, Texas
Essential Functions and Responsibilities:
- Monitor the Accounts Payable group email to respond and resolve issues and inquiries in a timely manner. Courteously contacts vendors for any account discrepancies and to set up ACH payments.
- Open, sort, file, scan, and forward incoming invoices for validation in Accounts Payable image softwares (Kofax and OnBase).
- Validate scanned invoices to ensure accuracy in the data captured.
- Efficiently disburse invoices to the correct departments for payment approval.
- Set up new vendors and employees in our GL/AP payment software (Prologue) ensuring all necessary paperwork is received, including W9s and ACH deposit authorization.
- Process and distribute manual check requests and invoice payments to specified departments or mailing addresses.
- Research credits, non-payment, and past due invoices, as well as process vendor refund checks.
- Process employee expense reports through Concur, to include validating expenses according to published policy and procedure, issuing payments, and ensuring expenses are correctly applied to the appropriate department and general ledger.
Requirements:
- High School Diploma or GED
- Minimum of one year Financial Institution Accounts Payable experience
- Knowledge of bookkeeping or basic accounting principles
- Must be able/willing to commute to work location at: 1 Ikea-RBFCU Pkwy, Live Oak, TX 78233
- Proficient with Microsoft Office desktop software
- Excellent organization, analytical, and communication skills
- Concur experience is preferred
