The Administrative Assistant is part of an administrative team that provides support for multiple teams within MedAxiom, including Care Transformation Services (inclusive of Revenue Cycle Solutions) and Member Services (inclusive of the Academy). This role reports directly to the Sr. Executive Assistant for Care Transformation Services, with day-to-day work also aligned to Member Services under the direction of the VP of Member Services. The Administrative Assistant will support key leaders across these areas and provide administrative support across the organization. This role requires frequent interaction with MedAxiom staff at all levels as well as external stakeholders.


Responsibilities


Care Transformation Services / Revenue Cycle Solutions Support:

  • Support Executive Assistant, Consulting with compiling and providing supporting materials for MedAxiom and other official meetings that involve the Care Transformation Team, including creating reports and PowerPoint presentations.
  • Coordinates inquiries and responses to requests for appointments and meetings / maintains and updates team members’ calendars
  • Handle routine correspondence, special projects, and telephone inquiries for the consulting unit.
  • Assist the Care Transformation Team with special projects as needed -- involving, but not limited to, simple data analysis and report preparation, internet research, database maintenance, table and chart creation.

Member Services / Academy Support:

  • Provide Salesforce support for Member Services/Academy: create accounts, add contacts, create and run reports as requested.

  • Manage monthly membership invoicing: run invoicing reports for member services and coordinate with accounting.

  • Create and maintain membership folders within shared Client folders.

  • Manage the MedAxiom listservs – posting questions as requested, creating and distributing weekly summaries, and saving summaries as resources on shared drive.

  • Manage the upkeep and storage of all Member Services resources on shared drive and HubSpot.

  • Maintain Monday boards for all Academy and Member Services projects, including the Monday pipeline board for prospective MedAxiom members.

  • Track Academy statistics for webinars, courses, programs, and associated registrations.

  • Provide Monthly Academy work hours to the Project Management team.


Qualifications


  • High school diploma or GED.

  • 3 plus years of professional administrative experience, ideally supporting executives, executive office and/or board of organizations

  • Experience managing and supporting multiple dynamic schedules

  • Strong written and oral communication skills, with a high degree of interpersonal skills

  • Excellent organizational skills, with keen attention to detail

  • Able to independently judge situations and requests and act accordingly

  • Able to handle multiple tasks with shifting priorities and meet deadlines

  • Possesses strong computer skills (Microsoft Word, PowerPoint)

  • Occasional travel to support CV Transforum Conferences (no more than 2 times per year)

Strongly Preferred Qualifications:

  • Possesses computer skills (Salesforce, Excel, and SharePoint, Microsoft Outlook, OneNote, Monday.com)




Salary Range: 55,000-60,000
