Position Summary, Administrative Staff Assistant II

This is a great opportunity for an enthusiastic, friendly, and organized person to work as an Office Manager with a team of engineers and technicians at the AIM Photonics TAP facility in Rochester, NY, support operations and business growth. The ideal candidate must be professional with good communication skills and have a strong desire to support and help others with administrative, customer service, and organizational tasks. Must be self-motivated and able to work independently to ensure success and productivity in a multi-faceted environment.

Key Responsibilities

  • Providing support to the engineering team that includes purchasing supplies and tools, organizing resources, maintaining inventories, tracking incoming and outgoing shipments, packing and shipping completed orders.
  • Assist with customer support and service through the use of CRM (Customer Relationship Management) software to document inquiries, organize technical support from the engineering team, generate quotes, and track the contracting process.
  • Perform clerical and administrative duties such as scheduling, purchase requisition creation, filing invoices, maintaining documentation, and completing forms.
  • Work closely with engineers involved in the exciting field of Integrated Photonics and helping host visitors, guests and vendors visiting AIM Photonics.


Job Requirements:

Minimum Qualifications, Administrative Assistant II

  • Bachelor's degree in business, communications, or related field OR associate's degree AND 5 years of relevant experience
