Under the supervision of the Executive Assistant, the Administrative Coordinator is responsible for providing administrative support and services for the entire school program. This includes, but is not limited to, maintaining Manville databases and school records, maintaining supply inventory, scheduling meetings/set-up, and processing purchase orders and employee reimbursements. - Maintains and updates (when applicable) all student files in an accurate and organized fashion.
- Ongoing Coordination of Department of Elementary and Secondary Education (DESE) required forms and permission slips, including distribution to appropriate staff, accurate filing and archiving.
- Serves as the primary contact person at the Manville School for staff and parents, answering phones, arranging meetings/set-up and appointments in a fashion to support and represent the schools' objectives.
- Receives early morning calls from parents and staff reporting absences and distributes information to appropriate staff.
- Composes and edits correspondence, memorandum and reports as requested and necessary.
- Coordinates accurate scheduling for team meetings, classroom meetings, and conferences.
- Partners with Kitchen Manager and processes accurate student attendance and meals, and submit to finance on a monthly basis.
- Processes purchase orders for curriculum materials and maintains inventory of school supplies according to The Baker Center guidelines.
- Coordinates activities and disseminates announcements of events within the Manville Community as necessary and as directed.
- Supports preparation and coordination of MCAS testing, including scheduling, materials organization, and communication with staff.
- Assists with planning and organizing summer programming, ensuring logistics, materials, and staffing needs are met.
- Processes critical incident (CI) and incident reports accurately and efficiently and ensure timely distribution of reports to families and school districts in accordance with established protocols.
- College degree preferred, not required.
- 2-4 years of office and organizational experience is required.
- Must be proficient in MS Office Suite, specifically with Word, Outlook, and Excel.
- Must be proficient in working with complex databases, such as excel, google sheets, student information systems, etc.
