Position Summary: The Adult Learners Campus Support Specialist provides essential administrative and data management support to the Department of Refugee and Immigrant Services during a critical transitional period. This six-month assignment supports programs under three key initiatives, the Illinois Welcome Center Program, the Citizenship Program, and the Refugee and Immigrant Service Program, while also assisting the Department of Adult Learner through its departmental transition and facility relocation.

1. Accurately enter, update, and maintain client and program data across multiple database systems and platforms used by the Illinois Welcome Center, Citizenship, and Refugee and Immigrant Service programs.
2. Ensure data integrity and consistency throughout all records.
3. Organize, maintain, and audit both physical and electronic program files for all three supported programs.
4. Establish and uphold filing systems and naming conventions that enable efficient retrieval and compliance with record retention policies.
5. Provide direct administrative assistance to the Department of Adult Learner throughout its transition process and facility relocation.
6. Assist program coordinators with client intake processes, including data verification, form completion, and enrollment entry into case management systems. Ensure new client records are complete, accurate, and entered promptly.
7. Facilitate the flow of information, relay updates, and support cross-departmental initiatives during the transition period


Qualifications:

• High school diploma or equivalent; associate's degree or higher preferred.
• Minimum 1-2 years of administrative or data entry experience.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
• Strong attention to detail and accuracy in data entry and record-keeping.
• Ability to handle confidential and sensitive information with discretion.
• Strong organizational and time management skills with ability to manage multiple tasks simultaneously.
