Essential Functions These are the job duties required of the position.Essential Functions- Works closely with the Manager, Accounts Payable (AP) in all aspects of the Accounts Payable Department for an advanced understanding of all policies, procedures and systems.
- Interacts in a helpful, friendly way to provide needed assistance with vendors and departments to allow for accurate and timely payment of University expenditures.
- Supervises Accounts Payable Assistants, Accounts Payable Coordinator and Accounts Payable Specialist I, to include determining workload and preparing annual evaluations.
- Approves invoices.
- Approves the direct pay of international wires and initiates the wire with the Treasury Department.
- Oversees the preparation of journal entries for wire transfer transactions, corrections or adjustments.
- Responsible for monthly reconciliation of assigned accounts to the General Ledger.
- Approves vendors allowed to receive payments via check.
- Assists Purchasing with vendor setup, training and problem solving in Banner, Concur and PaymentWorks as related to Accounts Payable.
- Assists the Manager, Accounts Payable with the 1099 processes and issuance of forms and the Year End closing processes.
- Responsible for the preparation of reports/schedules related to year end audits and interacting with the auditors.
- Assists the Accounts Payable Manager with testing and implementation of Banner updates.
- Oversees the Accounts Payable Specialist I in processing International Students to include using the online tax compliance system for the Nonresident Alien payments and obtaining the required documentation.
- Serves as backup for the Accounts Payable Coordinator and Accounts Payable Specialist I.
- Assists with implementation of new software and processes.
- Assists the Accounts Payable Clerks in ensuring compliance to applicable University, federal and state regulations.
- Regular and prompt attendance.
- Ability to work schedule as defined and additional hours as required.
- Related duties as required.
