BUSINESS AND SALES COORDINATOR

Brief Description:
The Business and Sales Coordinator is a versatile operational linchpin responsible for the seamless execution of FYI’s administrative, sales, and grant-funded activities. This role balances high-level financial tracking—such as trial balance reclassifications and budget management—with "hands-on" sales and customer service support, including managing an e-commerce store and maintaining our customer relationship management CRM) database. The Business and Sales Coordinator ensures that internal workflows are efficient, consultants and partners are paid promptly, and all external events—both virtual and in-person—are executed with excellence.
Essential Functions:
The Business and Sales Coordinator maximizes organizational impact by providing comprehensive administrative and logistical oversight across three core areas: business operations, sales coordination, and grant support.
Business Administration (35%)
Work under the direction of the Senior Director of FYI to manage all day-to-day business administration for FYI.
Complete monthly trial balance reclassifications and submit recurring check requests.
Manage FYI’s Shopify store and account. Track store inventory, manage our relationship with FYI’s 3rd party fulfillment center, and order products from publishers as needed.
Track and report monthly sales figures for monthly and quarterly sales meetings. Attend all sales meetings.
Work with the Senior Director of FYI to audit and analyze FYI’s finances on a regular basis.
Serve on FYI’s fund development team and provide the necessary support for fund development, and provide support to the Executive Director for development-related tasks, such as sending donor cards, purchasing and sending gifts, and preparing occasional large donor mailings.
Sales Coordination for Consulting, Training, and Partnership (35%)
Work under the direction of the Senior Director of Partnership, Training, and DEI to manage all sales processes, contracts, and invoices.
Manage our CRM and maintain a clean database along with all follow-up systems.
Optimize the consulting contract workflow by overseeing MOU distribution and maintaining thorough tracking systems for invoicing and accounts payable to ensure zero delays.
Manage payments to consultants, including all independent contract agreements. Track all partner MOUs, invoices, and payments.
Grant Project Support (20%)
Work with the senior leadership team to provide administrative and event support for assigned grant projects.
Manage details related to assigned grant-funded online gatherings for participants, including (but not limited to) emails, Zoom meetings, and note-taking.
Coordinate the details of all in-person events for assigned grant-funded projects, including lodging, hospitality, catering, venue set-up and clean-up, participant communication, and other related tasks.
Manage all assigned grant-funded budgets.
Process all check requests and reimbursements related to assigned grant-funded projects.
General Functions (10%)
General team participation in meetings, events, and other duties as requested by the supervisor.
Knowledge and Skills Required:
Bachelor’s degree
2-3+ years of administrative experience
Team player mindset, eager to serve and fosters collaboration.
Proven ability to provide superb customer service
Strong verbal and written communication skills
Strong computer skills, with competence in: Microsoft Suite, Google Suite, Adobe, Keynote, Hubspot or other CRM, Asana or other Project Management software, Slack, Zoom and high Internet and social media proficiency
Experience in customer relationship management; experience with HubSpot CRM software preferred.
Works well under pressure and can manage pressing requests and situations

This is a grant/gift-funded position that may be time-limited and/or contingent upon sufficient funding. In the event the funding is discontinued, the position may be eliminated.

- This position is available for remote work within the United States, subject to payroll state approval by Fuller Theological Seminary
Pay Scale:
- Hourly rate the seminary expects to pay: $22 - $23 per hour USD
