The Opportunity

  • Support the I&E team in in the facilitation, identification, and mitigation of project risks for new opportunities
    • Facilitate the coordination of work within I&E and BI Facilitate and schedule high-profile meetings.
    • Notify and escalate issues to proper stakeholders when issues and obstacles are impacting projects.
    • Facilitate mitigation strategy discussions with key stakeholders and/or team members.
    • Prepare and disseminate supporting documentation for meetings.
    • Document meeting minutes and other pertinent actions, decisions, or risks related to business integrations.
  • Create and update workflows, processes, materials, and resources, including SharePoint, Microsoft O365, and Teams sites.
  • Facilitate system changes processes such as termination and facility changes.
    • Update documentation with detailed amendments after changes are approved.
  • Support multiple projects as assigned.
  • Act as a customer service representative for data reconciliation requests.
    • Triage system setup requests and escalate to the necessary stakeholder teams.
    • Perform scheduled audits on contract records and reconcile system records as needed.
    • Submit, test, track, and monitor automation/integration requests with the Service Desk team.
  • Support any new SFDC reconciliation and data requests
  • Create, publish, and distribute reporting and communication to the relevant parties.

Required Experience and Competencies

  • High School Diploma, GED, or equivalent required.
  • 2 years of experience as a Project Coordinator/Assistant, Administrative Assistant, or related position in an office setting required.
  • Bachelor’s Degree preferred.
  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams, SharePoint).
  • Basic understanding of project management and desire to learn more.
  • Basic understanding of Salesforce (preferred) and a desire to learn more.
  • Basic understanding of Project Web Application (PWA) and a desire to learn more.
  • Strong customer service skills, including the ability to remain diplomatic in all circumstances.
  • Strong interpersonal skills, including positivity and a strong drive to self-start/initiate.
  • Strong organizational skills and attention to detail.
  • Ability to communicate clearly and concisely.
  • Ability to negotiate and, if needed renegotiate timelines.
  • Ability to appropriately prioritize workload and adapt to the daily needs of the team.

We are excited to share the base salary range for this position is $24.28 – $30.36, exclusive of fringe benefits or potential bonuses. This position is also eligible to participate in our annual corporate Success Sharing bonus program, which is based on the company’s annual performance. If you are hired at Vituity, your final base salary compensation will be determined based on factors such as skills, education, and/or experience.
