Client Service
- Act as the service point of contact for clients, corresponding with clients to complete paperwork, and address inquiries and issues, while providing timely, accurate information
- Efficiently coordinate the onboarding process for new clients, collecting relevant data, preparing and submitting required paperwork, obtaining signatures, tracking applications, and coordinating rollovers for a smooth and organized account setup
- Perform regular maintenance and paperwork for existing client accounts (applications, transfers of assets, advisor authorization forms, required minimum distributions, beneficiary updates, IRA contributions, etc.)
- Collaborate with financial advisor teams to gather necessary information and reports for financial planning and investment management
- Prepare and maintain client documentation and reports with a high level of accuracy.
- Coordinate and schedule client meetings, including scheduling to confirm meetings and tracking meetings relative to the service calendar
- Assist clients in navigating online access to their accounts and other firm-specific software
- Track outstanding client service items, proactively address outstanding issues or alerts and provide updates on pertinent items
- Provide peer training to cross-train with peers, emphasizing collaboration and knowledge-sharing for improved overall efficiency.
- Complete data entry and run reports in the Client Relationship Management (CRM) system, other firm software, and spreadsheets
- Manage bulk client communication
Business Operations & Administrative Support
- Under guidance, review and improve client service, custodial operations, and business admin processes, implementing solutions
- Complete operational data analysis and special projects as needed (i.e. service projects, client segmentation, financial calculations, beneficiary reviews, knowledge base updates, etc.)
- Assist with audits and regulatory compliance as necessary
Other Possible Duties

SKILLS & EXPERIENCE
This role is a remote, early to mid-level position, though we encourage candidates of all experience levels to apply.
- 1+ years of experience in a client service or operations role within a financial advisory or planning firm required
- Experience at a Registered Investment Advisor (RIA) and Schwab is highly preferred
- Experience providing administrative support
- Proficiency in using Client Relationship Management (CRM) software or similar project management tech
- Proficient in Google Suite, especially Google Mail, Docs, Sheets, and Slides (this is quickly learned for someone proficient in Microsoft Word, Excel, and PowerPoint)
- Tech-oriented with experience or proficiency in platforms similar to our core systems (Wealthbox, Calendly, RightCapital, Holistiplan, Airtable, Zapier, etc.) is highly preferred.
- Able to self-manage, prioritize and manage time effectively while following established processes and procedures
- High attention to detail, accuracy, and consistency to ensure precision in financial reports, account statements, and other client-related documents
- Strong verbal and written communication skills to interact effectively with clients
- Organizing data, performing basic calculations, and preparing reports with graphs and charts

This role involves spending most of the time in front of a computer, using a keyboard, mouse, and phone, as well as communicating with clients and co-workers via phone or virtual meetings.

COMPENSATION & BENEFITS
This full-time, remote W-2 position offers a base salary of $60,000–$74,000, plus a $6,000 annual health insurance stipend and retirement/profit-sharing bonuses, bringing total compensation within $68,000–$82,000. Compensation will be commensurate with the candidate's experience and qualifications.
You will accrue 24 sick/vacation/PTO days, 3 volunteer days, and paid federal holidays per year. Additionally, the firm covers up to $3,000 for professional development, training, and conference attendance to support your growth and development within the firm and industry.
We are a flexible workplace. Our team members take time off to attend to their health, care for family members, attend children’s performances (no matter how mediocre), take vacations, and more. Though some of our work must happen at specific times, we provide flexible hours and schedules. Our team members have thrived professionally in a variety of family situations, including without children, with young children, and with older ones.
