POSITION SUMMARY
The Contracts Clerk supports the Contracts Administrator in managing the full lifecycle of DLA AbilityOne TLS contract submissions and awards. Responsibilities include accurate data entry, document control, vendor coordination, logistics documentation, invoicing, and post-award processing using CounterPoint and WAWF. This role ensures timely, compliant fulfillment and payment through cross-functional collaboration.
KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS INCLUDE
Contract Administration
- Prepare, proof, and upload RFQ, PO, and award documentation; maintain version control.
- Enter and update contract data; monitor milestones and flag variances.
Vendor Coordination
- Collect and process vendor setup documents (e.g., W-9, ACH, DOR).
- Maintain vendor records in CounterPoint; validate with Accounting.
- Confirm PO acceptance and log performance metrics.
- Store onboarding documents for audit readiness
Order Processing and Fulfillment
- Enter Sales Orders and create Purchase Orders in CounterPoint.
- Track shipments, document delivery, and perform receiving upon POD.
- Release Sales Orders for billing; coordinate WAWF submissions and resolve discrepancies.
- Maintain organized records of all post-award documentation.
Logistics & documentation
- Collect and submit PODs and shipping documents; maintain searchable repositories.
Award Tracking & Modifications
- Update trackers; escalate risks and assist with contract modifications.
Cross-Functional Collaboration
- Coordinate with Operations, Accounting, Sales, and Contracts Administrator for approvals and handoffs.
CRM (Pipedrive) Support
- Maintain accurate lead and contact records; manage deal pipelines.
- Log activities and schedule follow-ups; ensure data hygiene.
- Align CRM data with operational systems; prepare weekly pipeline reports.
Reporting & Administration
- Maintain shared inboxes and trackers; prepare status and exception reports.
Other Duties
- Perform additional tasks as assigned.
JOB REQUIREMENTS INCLUDE
Education:
- High school diploma or GED equivalent required
- Bachelor’s degree in business administration, contract management, or related field preferred; a combination of education and relevant experience is acceptable.
Desired Experience:
- Minimum 1+ years of experience in contract administration, coordination, or management, preferably with federal contracts and DLA-specific processes.
- Purchasing experience is a plus.
Knowledge/Skills:
- Working knowledge of post-award workflows (SO entry, PO creation, vendor acceptance, receiving, billing readiness).
- Proficiency with CounterPoint (or similar POS/ERP) for Sales Orders, PO creation, receiving, and release.
- Familiarity with Wide Area Workflow (WAWF) payment submission and troubleshooting preferred.
- Strong document control, attention to detail, and follow-through; spreadsheet proficiency (Excel) essential.
- Clear written and verbal communication; ability to coordinate across teams and prioritize in a deadline-driven environment.
