The Department Coordinator serves as the primary support to the functions and operations of the Department of Computer Science. The incumbent will be responsible for managing the administrative responsibilities of the department and providing logistical, independent, and administrative support to the chair, the faculty, staff, and students of the Department. Tasks may include (but are not limited to) supporting the Department Chair with administrative and project needs (e.g., scheduling, taking minutes, faculty evaluations, Grad faculty membership, committee participation, etc.), the faculty (e.g., implementing record-keeping; preparing reports and data; help with event planning; support marketing and communications; and support various tasks, such as promotion and tenure, and faculty visits, etc.). Performs a wide variety of complex administrative and office functions and support for the department; independently manages office workflow, projects, and schedules; act as the liaison to resolves issues reported by CS faculty and students in alignment with established policies and chair's direction.
Effectively communicate the internal CS Department processes/procedures. Collaborate with the Chair to establish new policies and procedures or redefine existing policies that address new challenges within the department and document those policies and
procedures for future reference.
Job Summary
Oversees day-to-day management of all academic support operations. Develops procedures for optimal operational efficiency and accuracy.
Essential Functions
Faculty Recruitment and Colloquiums
- Work with the Faculty Recruiting Committee to coordinate the department faculty recruitment process. Responsible for coordinating all candidate interviews with faculty members, scheduling candidate in-person or remote campus visits, and communicating to the faculty the dates/times of the candidate visits.
- Assist CS faculty member(s) with scheduling and coordinating departmental colloquia and other faculty invited talks.
Department Operations
- Collaborate with the Chair and Undergraduate Studies Coordinator to complete course schedule for each term to adhere to and keep Chair aware of University and SCI Academic Records deadlines. This process takes place in phases throughout the year.
- Compile compensation/financial information related to PTI and instructor’s course load.
- Manage and coordinate department purchases to accommodate the needs of faculty and students and coordinate with the Finance department for approval while monitoring spending.
- Interviewing, onboarding, training and supervising department student workers. Create weekly schedules for the students and assign daily tasks to accomplish department initiatives, faculty requests, and general needs of the department. Review and approve weekly timecards for each student.
- Administrative support for faculty when required (ex.prepare correspondence and forms, copying, scanning, etc.)
Physical Effort
Must be able to sit or stand for prolonged periods of time. Must be able to lift boxes and set-up rooms for events.
