General Summary:
The Data Entry & Operational Support Specialist a detail-oriented and organized professional who supports both inspection report processing and daily warehouse administrative operations. This position plays a critical role in ensuring accurate and timely completion of fire protection system inspection reports, while also assisting with receiving and tracking incoming materials in our warehouse.
This is not a basic data entry position. This role requires critical thinking and the ability to interpret and professionally document technical inspection findings.
Preferred Job Skills:
- Experience working with inspection reports, service reports, or technical documentation
- Familiarity with fire protection systems (fire alarm, sprinkler, suppression systems)
- Experience with inventory, shipping/receiving, or warehouse coordination
- Experience in construction, life safety, or facilities management industries
Mandatory Hiring Requirements:
- References, Background Check, Drug Screen Testing, Valid Driver’s License
Key Responsibilities:
Inspection Report Processing
- Input inspection data into Excel-based report templates for multiple fire protection systems, including:
- Fire alarm systems
- Sprinkler systems
- Fire extinguishers
- Kitchen hood suppression systems
- Translate technician field notes into clear, professional, and standardized narrative descriptions
- Ensure consistency in terminology, formatting, and report structure across all inspection documents
- Review reports for completeness, accuracy, and proper grammar before final submission
- Identify and flag missing or unclear information for follow-up with technicians or management
- Maintain organized digital records of completed inspection reports
Warehouse & Operations Support
- Assist with receiving incoming parts and materials at the warehouse
- Verify shipments against purchase orders and packing slips
- Accurately log received items into inventory or tracking systems
- Organize and label materials for proper storage and distribution
- Communicate discrepancies (shortages, damages, incorrect items) to appropriate personnel
- Support the Assistant Operations Support Administrator with daily administrative tasks
Required Skills & Qualifications
- Strong data entry skills with a high level of accuracy
- Proficiency in Microsoft Excel (required)
- Excellent written communication skills, particularly in professional/technical writing
- Strong attention to detail and ability to spot inconsistencies
- Ability to work with narrative-style documentation (not just checklists or forms)
- Excellent organizational and time management skills
- Ability to manage multiple responsibilities in a fast-paced environment
- Ability to interpret data and convert it into technically accurate, clear, and professional documentation
- Valid driver’s license with a clear driving record
Required Physical/Mental Functions:
- Comprehend and practice safe work procedures as outlined in Company Safety Handbook.
- Read and interpret instructional manuals and written instructions.
- Must hear and see well (either natural or with correction).
- Must be able to bend, stoop, squat, kneel, push, pull and reach overhead.
- Able to lift objects weighing up to 30 pounds, with frequent lifting and carrying of objects weighing up to 20 pounds.
- Tolerant to prolonged sitting.
- Repetitive use of arms, hands, and fingers.

Work Environment:
- Office-based position with regular interaction in warehouse setting (on-site required)
- Combination of desk work and light warehouse coordination
- Frequent collaboration with field technicians and office staff
- Fast-paced environment with deadlines tied to inspection schedules and material needs
- Considerable amount of time making repetitive motions.
- Considerable amount of time sitting.
- Considerable amount of time using telephone and computer.
- Sounds, noise levels may be distracting or uncomfortable.

- Reports are completed accurately with minimal corrections needed
- Consistent, professional language is used across all reports
- Incoming materials are received, verified, and organized accurately
- Strong coordination between office, field, and warehouse operations
- Turnaround time for reports and receiving tasks is efficient and reliable
