ABOUT THE ROLE:

We’re seeking a detail-oriented Data Entry Specialist to join our Production team at PM Legal, a division of Lexitas. In this vital role, you’ll work with legal records, subpoenas, and client documentation—ensuring every piece of data is accurate and processed efficiently. KEY RESPONSIBILITIES:

  • Create and maintain custom client questions using Crystal Reports.
  • Manage the delivery of notices to all counsel of record via fax or FedEx.
  • Generate legal documents including custodian letters, certifications, affidavits, and notices.
  • Intake, review, and accurately enter client order information received by fax, email, or phone.
  • Complete assignments within the research queue and document MTQ/Rule 11 details.
  • Safeguard confidential medical information and ensure strict adherence to HIPAA and all data privacy standards.
  • Operate and troubleshoot standard office hardware including fax machines, scanners, copiers, and related equipment.
  • Collaborate with managers and internal teams to ensure data accuracy and efficient workflow execution.
  • Perform additional duties as assigned to support departmental operations.

  • Comfort using standard office hardware including fax machines, scanners, and photocopiers.
  • Capability to work independently while maintaining alignment with team needs and departmental standards.
  • Consistent punctuality, dependable attendance, and a strong work ethic.
  • Familiarity with subpoenas, written depositions, and affidavits is a plus.

QUALIFICATIONS:

  • High school diploma or equivalent required.
  • Knowledge of legal terminology preferred.
  • Previous experience in data entry, administrative support, legal services, or medical records is beneficial.
  • Demonstrated ability to maintain confidentiality and follow all privacy and compliance requirements.
  • Commitment to operational excellence and collaborative problem-solving.

SUPERVISORY RESPONSIBILITIES

This role is not a supervisor position.

LANGUAGE SKILLS

Ability to effectively present information and respond to questions from internal and external customers whose first language is English.
