Position Summary Brief Description of PSU/School/DeptPosition SummaryThe Office of Academic Affairs (OAA) is the central academic administrative office with responsibility for the institutional academic mission, programming and policy implementation, support programs for academic personnel and students (including registration and advising), and academic fiscal management. The Office is guided by the Provost and Vice President for Academic Affairs, who serves as Chief Academic Officer of the University. Working with faculty, deans, vice provosts, and other administrators, the Provost collaborates with the campus and external communities to achieve the University’s academic mission and vision. Academic Affairs is the administrative home for all academic units.
This position reports to the Vice Provost for Faculty Success and will serve as a key thought partner, providing direct and confidential assistance to the Vice Provost and other academic leaders. The position will support the complex, campus-wide operations related to academic personnel, including the promotion, tenure, and review processes, faculty hiring, and other personnel-related matters for academic employees. The position also supports the Vice Provost in delivering leadership development for department chairs, assistant and associate deans, and early- and mid-career faculty.
This position requires understanding and navigating the University’s administrative systems and policies, including Oregon Administrative Rules, Portland State University policies, and Collective Bargaining Agreements. The role requires flexibility and creativity in applying technical knowledge to diverse situations, while ensuring confidentiality, compliance with policies and labor contracts, and adherence to diversity, equity, inclusion, and legal requirements in personnel matters.
The position requires experience in prioritizing and managing multiple projects and deadlines, as well as the ability to work effectively in a team context. Much of the work has peak loads, following the academic calendar and processes. Candidates must also have the ability to initiate and proactively problem-solve, demonstrating sound judgment and anticipatory skills. As a member of the Academic Employee & Labor Relations Team and in fulfillment of the Office of Academic Affairs’s campus-serving mission, the position requires the ability to work with a broad range of administrative professionals, campus leaders, and faculty. A high degree of integrity is essential, as is the ability to establish and maintain productive professional relationships and deliver excellent customer service. The role also requires sensitivity to persons of diverse backgrounds and a strong affinity for the mission of higher education.
This is a full-time, unclassified, unrepresented position due to the need to handle confidential materials related to collective bargaining with the university’s academic unions.Minimum Qualifications
  • Bachelor’s Degree in a related field of study and 6 or more years of professional experience in a higher education environment that includes employment-related processes.
  • Experience working with PeopleAdmin or other Human Resources position management software.
  • Experience working with Banner, Cognos, or other centralized Human Resources personnel-related data information systems.
  • Professional writing and presentation skills
  • Demonstrated experience with various required software such as Word, Excel, PowerPoint, and Google.
Preferred Qualifications
  • Master’s degree in higher education management or related field, with 4 or more years of experience in a higher education environment that includes application of employment-related processes.
  • Experience in promotion, recruitment, and retention practices for academic employees, especially faculty.
  • Experience working with classification and compensation philosophies.
  • Experience in policy and/or compliance practice development and implementation.
  • Experience working in a unionized environment.

PSU has a structured process for determining starting compensation, taking into account years of related experience, applicable skills, knowledge and abilities, market parity, and internal equity. The starting annual salary for this position will be between $74,232 – 98,364 but may be negotiated above this rate dependent upon the factors above, the budget of the hiring department, and approval from HR.
