In this role, you will be a key player in our mission by optimizing the electronic distribution of patient healthcare documents. You will help us move toward a more efficient, paperless system by integrating physical documents into our electronic records, ensuring that critical information is always available when and where it's needed.
As the Electronic Document Specialist, your duties may include, but may not be limited to:
- Process and Digitize Patient Records: You will receive, prepare, and scan various client documents, including medical records, prescriptions, and reports, ensuring each document is accurately associated with the correct client ID.
- Organize and Secure Documents: You will index scanned documents by type and description, route them appropriately, and either securely shred or store physical copies based on legal and retention requirements, all while tracking the process.
- Ensure Accuracy and Confidentiality: You will maintain the privacy of all patient information in accordance with HIPAA, follow up on incomplete requests, and collaborate with your team on urgent tasks or quality reviews.
- Maintain Data Integrity: You'll prevent duplicate records by checking for and merging previously scanned reports. You will also perform regular quality assurance checks on scanned and indexed documents before they are finalized in the electronic health record.
- Improve Processes: You'll track and report on data or quality issues to help leadership identify and address training needs and process improvements. You will also participate in team meetings to provide feedback on current and changing procedures.
- Ensure Operational Efficiency: You'll notify leadership of any equipment issues or failures to ensure a smooth and continuous workflow, and you'll attend training to stay up-to-date on changes to document processing.

Minimum Qualifications/Transferable Skills*:
Any combination of experience and training that would likely provide the knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be as noted below. All non-traditional education, training and experience will be evaluated.
Education/Training: Equivalent to the completion of the twelfth grade; AND
Experience: One (1) - Two (2) years of general office support or customer service experience dealing directly with the public.

However, keep in mind we may consider some or all of the following when identifying the most qualified candidates. - Previous experience working in a medical or health related environment.
