Responsibilities

The Executive Assistant (EA) provides high‑level administrative and business support to a group of 4–5 senior executives. This role is responsible for managing complex and frequently changing calendars, coordinating domestic and international travel, handling executive correspondence, supporting onsite meetings and visitors, and serving as a trusted liaison between executives, internal teams, and external business partners.

Schedule:

  • Full-time, Mon-Thurs onsite/in office 8:30am-5:30pm
    • Remote on Fridays
  • Flexibility and willingness to work extended or unpredictable work hours when necessary

The EA is expected to proactively assess and anticipate executive needs, exercise sound judgment, and independently resolve administrative matters to keep leaders focused on business priorities. The ideal candidate is enthusiastic, professional, self‑directed, and highly organized, with exceptional communication skills, strong attention to detail, and a high degree of integrity.

Key Accountabilities & Responsibilities

  • Provide comprehensive business support for executives, including calendaring, travel, correspondence, research, and event planning.
  • Develop a strong understanding of the executive’s goals, priorities and working styles to effectively anticipate deliverables and follow-up when necessary.
  • Manage complex calendars, schedule meetings, appointments and conference calls; prioritize and shift as business needs change.
  • Coordinate and arrange domestic and international travel, meeting logistics, conference registrations and related materials.
  • Schedule and organize complex activities such as meetings, domestic and international travel, conference registrations, and all related arrangements.
  • Proactively and effectively manage email and telephone communications; use good judgment, offer potential solutions, and escalate as needed.
  • Serve as a key point of contact for internal stakeholders, external partners and office visitors.
  • Provide administrative support to other members of the leadership team as needed.
  • Demonstrate a sense of urgency, initiative, responsiveness and attention to detail.

Support special projects and other duties as assigned.



Qualifications

  • College degree or equivalent work experience.
  • Prior experience working for senior-level executives required.
  • 5+ years previous administrative and/or personal assistant experience required.
  • Experience supporting remote or often traveling executives a plus.
  • Flexibility and willingness to work extended or unpredictable work hours when necessary.
  • High degree of integrity and judgment in handling and processing confidential and sensitive information of both a business and/or personal nature.
  • Ability to effectively manage shifting priorities with flexibility and accuracy, and prioritize multiple requests based on own judgment of importance/need.
  • Strong working knowledge of Microsoft Outlook and Teams.
  • Microsoft Office proficient (i.e., Word, Excel, PowerPoint)
