Role Description

We are looking for an Executive Assistant to provide high‑level executive, administrative, and office management support to ensure smooth daily operations and effective coordination across the organization. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities.

Location

On-site – This position will be based in San Jose, CA

What you will be doing:

  • Interact with and support our Board of Directors and board meetings.

  • Manage executive and Board of Directors calendars, meetings, and long‑term scheduling.

  • Coordinate executive and board meeting logistics, including travel, meeting rooms, catering, and technology.

  • Maintain board documentation and access controls; track action items and follow‑ups.

  • Process and distribute checks; assist with deposits, submit board fees, and expense reports for approval.

  • Provide administrative and front desk support, including visitor management and call routing.

  • Manage office operations, supplies, purchasing requests, and mail/shipping.

  • Schedule meetings, manage conference rooms, and coordinate catering and events.

  • Maintain documentation, correspondence, reporting, and shared files.

  • Support scheduling for finance, earnings‑related, and investor meetings.

  • Maintain a professional office environment and provide general office and administrative support as needed.

What you should have:

  • Bachelor's degree or equivalent required.
  • 4+ years of executive support, administrative or office management experience; Board support experience is a plus.
  • Experience supporting senior‑level leaders.
  • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Comfortable managing complex Outlook calendars, scheduling meetings, and coordinating across multiple stakeholders.
  • Strong organizational, time‑management, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proven ability to handle confidential and sensitive information.
  • Strong attention to detail, problem‑solving skills, and customer‑focused mindset.
  • Demonstrated integrity, reliability, and professionalism.
  • Ability to collaborate effectively with cross‑functional teams and external partners.

Pay & Benefits

For this role, the estimated base salary range is between $33/hr - $48/hr. The actual base salary will vary based on various factors, including market, location, and individual qualifications objectively assessed during the interview process. This position may also be eligible to receive incentive compensation: bonus, equity, and benefits. Sales positions are generally offered a competitive On Target Earnings (OTE) incentive compensation structure
