How will you make an impact in this role?
This role provides administrative support as a full time, hybrid position, assisting the Global Health Services and the Benefits & Recognition teams within Global Well-being and Benefits. The day-to-day responsibilities require seamless collaboration across a wide range of stakeholders both inside and outside of American Express. This position is an integral part of the team and will work closely with the leaders in maintaining clarity of schedule, key deliverables and prioritizing effectively support the operation of the team. Building strong relationships and being resourceful will also be critical to success in this position.
Day-to-day responsibilities include, but are not limited to:
- Responsible for calendar management on a daily, weekly and monthly basis
- Provide customer facing support to the medical services team by supporting clinical staff, interface with colleagues entering our wellness center, schedule and confirm appointments by utilizing the department internal scheduling tool, manage high inbound phone calls, messages, prepare documents for scheduled programs and troubleshoot system issues as needed
- Managing follow-ups and generating reminders to effectively meet deadlines and commitments
- Review monthly expense reports in line with policy
- Manage logistics of meeting administration (in-person and telepresence)
- Procuring laptops, office supplies, office space, etc. and managing the process including researching invoices
- Time keeping and submission for the team and managing ad-hoc team requests
- Work closely with the other executive assistants on office operations
- Maintain headcount reporting, organizational charts, and department distribution lists
- Manage domestic and foreign travel arrangements including air, hotel, car transfers and meeting agendas
- Ensuring timely preparation and processing of expense reports and invoices; review expenses submitted to leader for approval in line with policy
- Organize internal and external business meetings, making all necessary arrangements including sending invites, reserving rooms, conference call and telepresence setup, printing copies and arranging catering
- Communicate effectively with all team members and key partners of all levels including the ability to manage the brand of the team and meticulous attention to detail
- Manage office supplies, equipment and other supply requests
- Coordinate facilities management responsibilities
- Follow up with team on Navigator trainings, and any other requirements and deadlines
- Assistance with special projects and initiatives as needed
- Attend and document content of bi-weekly direct report meetings
- Ideal candidate should be eager to learn about the function and willing to take on new assignments related to the teams being supported
Minimum Qualifications
- 3+years of previous experience as an Executive Assistant familiar with administrative management responsibilities and relevant hardware/software products and services
- Experience exercising discretion and confidentiality with sensitive information
- Motivated, proactive team player with strong initiative, organizational, administrative and interpersonal skills
- Strong attention to detail with emphasis on accuracy, quality, timeliness, follow through and sense of urgency in executing
- Must work well under pressure without losing composure and professionalism
- Must understand and adhere to all HIPAA and confidentiality requirements.
- Excellent verbal and written communication skills (via phone, email and in-person)
- High level of proficiency using MS Office including Word, Excel and PowerPoint, as well as internal AXP (or related) tools and systems – phone functions, MS Outlook, Ariba, Concur, and Payroll
- Excellent time management and organizational skills with a strong focus on accuracy and attention to detail and ability to work flexibly
- Proven ability to manage priorities, work independently, work within deadlines in a fast-paced, dynamic environment and execute across multiple initiatives/tasks

- Bachelor’s degree preferred
Salary Range: $31.49 to $49.28 hourly + bonus + benefits
