Physical Requirements

This position requires the ability to regularly sit for extended periods of time at a computer workstation and perform tasks with repetitive motions (such as typing), and walk extensively throughout the facility, occasionally with objects weighing up to 25 lbs.



Shift

Monday through Friday, varying shift hours between 8:00 am and 5:00 pm; hours and days of week subject to change in order to meet job and departmental business needs.



Job Summary

The Executive Assistant Senior provides advanced executive and project coordination support to the Executive Triad and Finance functions. This position requires advanced knowledge of administrative operations, university policies, and cross-functional project coordination. The Executive Assistant Senior independently manages complex schedules, supports enterprise initiatives such as Beyond Blue organization support and Health System Integration, and ensures alignment with strategic objectives. Work involves complex problem-solving, frequent non-routine assignments, and a high degree of independent judgment under broad guidance.

The ideal candidate will demonstrate:
  • Advanced organizational and prioritization skills to manage complex executive calendars and multiple concurrent initiatives.
  • Strong project coordination abilities, including planning, tracking, and reporting on deliverables for enterprise-level initiatives.
  • Sound judgment and discretion when handling sensitive information and decision-making on behalf of executive leaders.
  • Excellent written and verbal communication skills, with the ability to prepare executive-level materials and presentations.
  • Strategic thinking and the ability to anticipate needs, identify challenges, and recommend solutions proactively.
  • Strong relationship management and collaboration skills, engaging effectively with leaders, departments, and external partners.
  • Analytical skills to interpret information, monitor progress, and support data-informed decision-making
  • A high degree of professionalism, initiative, and accountability in a fast-paced, dynamic environment

Preferred Education/Experience

Bachelor’s degree preferred. Experience supporting executive or enterprise-level projects in healthcare or higher education. Demonstrated ability to learn and adapt to new systems, tools, and processes quickly. Strong problem-solving skills with the ability to apply knowledge across various technologies.
