Position Summary:
Position requires mastery of the executive associate function, including projection of a strong presence internally and externally with a high level of professionalism. Candidate will perform highly diverse administrative duties, which involve senior level contacts and exposure to sensitive information requiring confidentiality, discretion, and good judgment, as well as the highest level of core behaviors.
Key Responsibilities and Major Duties:
- Perform highly diverse, and often time-sensitive, complex administrative functions, projects, and tasks. Support up to 4 Executive Directory level area heads in Cell Therapy Development & Operations.
- Addresses correspondence, manages calendars, schedules meetings, conferences, and events, makes domestic and international travel arrangements, maintains accurate departmental records, and on-boards & off-boards contractors and employees.
- Has strong organizational skills, pays close attention to detail and follow-up, and properly balances priorities and resources. Manages, coordinates and organizes high level department meetings, town halls, including coordinating content and logistics
- Maintains a positive attitude, a high level of productivity, and is adaptable to change. Proactively looks ahead at schedules, events, and needs of manager/team, anticipates conflicts, problems and issues, and takes appropriate steps to produce desired outcomes with minimum assistance from supervisor.
- Interface in a professional manner with senior executives and matrix team members, handle confidential information with discretion and demonstrate diplomacy and excellent judgment in dealing with sensitive situations.
- Anticipate key issues and implement action plans based on changing priorities and commitments.
- Prioritizes activities and takes action based on an understanding of departmental objectives and business needs.
- Maintains professional and technical knowledge by remaining current with BMS continuous learning modules.
- Proficiency with MS Office Suite, Sharepoint and strong learning ability to keep up with tools
- This role also provides end‑to‑end support for site meetings and events, including securing conference rooms, coordinating room setup and equipment with Facilities/IT, arranging and cleaning up catering, and serving as the primary day‑of contact. Events may range from single meetings to multi‑day, back‑to‑back programs, requiring strong organization, anticipation of needs, and effective coordination across stakeholders.
Qualifications:
- High School degree required, some college or degree desirable
- At least 7 years administrative or comparable experience. Prior BMS and Executive Associate or Project Coordinator experience preferred
- Highly motivated, independent thinker with proven problem solving and analytical skills. Ability to utilize technology effectively to support strategic initiatives and/or processes
- Ability to interact with colleagues at all levels of the organization.
- Must be highly proficient in various BMS systems (or willing to learn rapidly) (Concur Travel/T&E, MS Teams, SAP, eSetup, Conf Room Scheduling, WorkDay, and Sharepoint) and other office tools (Office365, Calendar, eMail and audio/ video conferencing).
- Detail oriented with excellent oral and written communication skills. Adapts easily to new learning situations, can establish priorities, is very proactive, reliable and accountable, and works with minimal supervision.
- A collaborative team player who effectively builds relationships with team and other departments and can work independently.
- Demonstrates ability to prioritize, pro-actively work independently and collaboratively with other administrative assistants/external partners, across organizational levels, functions, and supports business needs across different time zones and during periods of heavy workload.
- Exhibits a positive work attitude, high productivity and a collaborative approach with other employees across a matrix and international environment.
- The expectation of all Executive Associates within the Cell Therapy Development & Operations team is that of true collaboration and partnership to ensure business needs/goals are met. Will also be required to provide back-up support as needed to cover planned vacations as well as unplanned absences
- Minimal domestic travel may be expected.
Onsite Attendance:
- This position requires you to work on site three days a week and may choose to work from home two days a week.

Compensation Overview:
Seattle - WA: $82,090 - $99,477
The starting compensation range(s) for this role are listed above for a full-time employee (FTE) basis. Additional incentive cash and stock opportunities (based on eligibility) may be available. The starting pay rate takes into account characteristics of the job, such as required skills, where the job is performed, the employee’s work schedule, job-related knowledge, and experience. Final, individual compensation will be decided based on demonstrated experience.

Paid Time Off
- US Exempt Employees: flexible time off (unlimited, with manager approval, 11 paid national holidays (not applicable to employees in Phoenix, AZ, Puerto Rico or Rayzebio employees)
- Phoenix, AZ, Puerto Rico and Rayzebio Exempt, Non-Exempt, Hourly Employees: 160 hours annual paid vacation for new hires with manager approval, 11 national holidays, and 3 optional holidays
Based on eligibility*, additional time off for employees may include unlimited paid sick time, up to 2 paid volunteer days per year, summer hours flexibility, leaves of absence for medical, personal, parental, caregiver, bereavement, and military needs and an annual Global Shutdown between Christmas and New Years Day.
All global employees full and part-time who are actively employed at and paid directly by BMS at the end of the calendar year are eligible to take advantage of the Global Shutdown.
*Eligibility Disclosure: The summer hours program is for United States (U.S.) office-based employees due to the unique nature of their work. Summer hours are generally not available for field sales and manufacturing operations and may also be limited for the capability centers. Employees in remote-by-design or lab-based roles may be eligible for summer hours, depending on the nature of their work, and should discuss eligibility with their manager. Employees covered under a collective bargaining agreement should consult that document to determine if they are eligible. Contractors, leased workers and other service providers are not eligible to participate in the program.
