Executive Associate I, Global Real Estate and Workplace Services (GREWS)

Provides administrative support, lease payment operations and team building for the Global Real Estate and Workplace Services (GREWS) Team. Executive Associate I performs highly diverse administrative and project support activities, which by nature of the group involve working with senior management internal and external to BMS, including the BMS executive leadership team, key stakeholders in external companies. This role includes work with confidential material necessitating the use of tact, diplomacy, discretion, and judgment.

The candidate must have proven skills in communicating, prioritizing and multi-tasking, as well as the ability to remain poised and focused in a fast-paced working environment.

Key Responsibilities:

Prioritize activities and takes prompt action based on an understanding of departmental objectives and business needs including:

  • Communication
    • Contact person for the GREWS leadership team managing calendars, organizing agendas and communicating plans team meetings, video conferences calls, senior management meetings, matrix team meetings, and team building.
    • Maintains strict confidentiality on real estate and workplace projects
    • Manages team digital communication capabilities such as TEAMS thread, LT Teams collaboration site and GREWS website
  • Logistics & Operations
    • Research and manage international and domestic travel itineraries in adherence to T&E policy. Perform monthly reconciliation of business expenses and timely preparation of expense reports.
    • Calendar management for executive and direct reports as well as timely scheduling, meeting prioritization within appropriate timelines.
    • Sole point of contact for a specialized administrative function for GREWS (e.g., purchase orders, international travel, visa applications, onboarding, Invoicing, SOW, etc.)
    • Space ambassador for the team space footprint at Lawrenceville and Giralda Farms sites
  • Lease Operations Administration
    • Works in close collaboration with real estate lease administration lead(s) to manage overall lease payments
    • Initiates & verifies annual purchase orders creation (in SAP) for leased properties
    • Conducts monthly payment review and adjustment payment activities as needed
    • Ensures any reconciliations or discrepancies are addressed in a timely manner
  • Collaboration
    • Partner with reception, EHS, IT, Security, Facilities (including TPT – technical production team) at each site to work in conjunction with on-boarding/off-boarding employees, coordinating events (Town Halls, Engagement, Workshops), badge access, visitor registration/access, and safety training.
  • Team Building
    • Culture carrier for the GREWS organization; point of contact to help maintain a level of balance throughout the organization.

  • Learning & Development Advances professional capabilities by actively adopting new digital skills and sharing best practices across the team.

The Following skills and experience are essential:

  • Minimum 5 years administrative support or comparable experience
  • Proficient with Microsoft Suite (Outlook, Word, Excel, Power Point, Teams, Forms, & Whiteboard)
  • Concur Travel and T&E, Ariba/SAP, SharePoint, catalog requests, Workday, Room Scheduler experience
  • Proficient with SAP, Purchase orders, check request transactions.
  • Successful candidate should be self-motivated, efficient team player, who is continuously learning and adapting to our changing environment
  • Strong ability to understand priorities and made scheduling decisions to maximally utilize executive time.
  • Prior and/or recent experience supporting senior executive(s) with strong skills orchestrating complex meetings with C-Suite Admin team
  • Prior and / or recent experience upholding confidentiality for sensitive projects preferred
  • Successful candidate must be able to learn new tools and systems in an agile environment
  • Exhibits a positive work attitude, high productivity, and a collaborative approach with other employees across the matrix and international environment
  • Role is based in the BMS Lawrenceville, N.J. Site. Project management experience helpful to assist on projects that may need special attention

The starting compensation for this job is a range from $74,630 - $90,400 plus incentive cash and stock opportunities (based on eligibility).

The starting pay rate takes into account characteristics of the job, such as required skills and where the job is performed.

Final, individual compensation will be decided based on demonstrated experience.
