The Executive Associate II will provide high-level administrative and operational support to the Senior Vice President of Global Medical Immunology & Cardiovascular. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, global environment. The role will serve as a key liaison, ensuring seamless communication and coordination across internal and external stakeholders. This individual will perform highly diverse administrative and project focused duties, which by nature of the position may involve high level contacts and exposure to confidential material necessitating the use of tact, diplomacy, discretion and judgment. The ideal candidate will be well versed in leveraging artificial intelligence (AI) tools to enhance productivity, streamline processes, and support data-driven decision making.

Key Responsibilities

General Administrative Support:

  • Perform highly diverse, and often time-sensitive, multifaceted administrative functions, projects, and tasks.
  • Support leadership meetings, including agenda development, logistics, and minute-taking. Track and follow up on action items, ensuring timely completion.
  • Ability to process SOWs, contracts, and invoicing & assist with budget tracking, expense reporting, and invoice processing.
  • Supports on-boarding & off-boarding of department team members.
  • Liaise issues to proper resolution support teams related to technology equipment, software applications, facilities, etc.; Independently researches complex issues and escalates urgent issues to proper management teams or individuals for expedited resolution.
  • Maintains professional and technical knowledge (including AI, ChatGPT etc…) by remaining current with BMS continuous learning modules & support team members in the adoption of AI tools and best practices.
  • Proactively identify opportunities to improve processes and enhance administrative efficiency, including the use of AI-powered solutions for scheduling, document management, data analysis, and workflow automation.
  • Lead or support special projects and initiatives as assigned

Calendar Management:

  • Manage complex calendars (within appropriate timelines across applicable time zones), coordinate global travel, and organize high-level meetings.
  • Proactively looks ahead at schedules, events, and needs of manager/team, anticipates conflicts, problems and issues, and takes appropriate steps to produce desired outcomes.

Communication Management:

  • Interface in a professional manner with senior executives and laisse across matrix teams (Medical, Commercial, R&D, HR, Legal, etc.) and external partners.
  • Maintain team and subject focused distribution lists; distribute or cascade messages on behalf of the team.
  • Collaborate and partner with all executive associates across the matrix to ensure business needs and goals are met.
  • Handles confidential information with discretion and demonstrate diplomacy and excellent judgment in dealing with sensitive situations.

Qualifications & Experience

  • High School Degree, some college or degree desirable.
  • 8+ years administrative or comparable experience. Prior Executive Associate experience preferred.
  • Proficient with Microsoft Suite (Outlook, Word, Excel, Power Point). Knowledge of BMS Systems and Processes strongly preferred.
  • Must be highly proficient in various systems (Concur Travel & T&E, ARIBA, SAP, eSetup, Conf Room Scheduling, WorkDay, and Sharepoint etc…)
  • Highly motivated, independent thinker with proven problem solving and analytical skills. Ability to utilize AI technology effectively to support strategic initiatives and/or processes
  • Detail oriented with excellent oral and written communication skills. Adapts easily to new learning situations, can establish priorities, is very proactive, reliable and accountable, and works with minimal supervision.
  • Demonstrate a growth mindset and be able to learn new tools and systems in an ever-evolving environment.
  • Exhibits a positive work attitude, high productivity and a collaborative approach with other employees across a matrix and international environment.

Compensation Overview:

Princeton - NJ - US: $74,630 - $90,434 


The starting compensation range(s) for this role are listed above for a full-time employee (FTE) basis. Additional incentive cash and stock opportunities (based on eligibility) may be available. The starting pay rate takes into account characteristics of the job, such as required skills, where the job is performed, the employee’s work schedule, job-related knowledge, and experience. Final, individual compensation will be decided based on demonstrated experience.
