The Oregon Health Authority (OHA), Public Health Division (PHD), Environmental Public Health is recruiting for an Executive Support Specialist to provide a variety of general administrative and office support, administrative workflow, human resources administrative assistance, legislative session support, hybrid meeting support, and webpage content maintenance to the Environmental Public Health (EPH) section within the Center for Health Protection in the OHA Public Health Division. This position will provide section-wide support to technical and program staff and managers for certain categories of work, coordinate among the EPH administrative team to meet agency directives related to administrative matters and provide limited direct support to the EPH Section Manager.

What We Are Looking For:
Minimum Qualifications: These qualifications must be visible in your application for consideration.
- One year of experience performing administrative duties in support of agency projects or programs.
- Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.

- Strong organizational skills and expertise independently carrying out administrative functions consistent with agency policies and procedures, including routine financial and operational tasks (e.g., researching and preparing required forms, purchasing equipment and supplies, collecting and distributing mail and packages), with flexibility to respond to quickly changing priorities when needed.
- Proficiency using Microsoft Teams and Outlook to plan and implement in-person, virtual and hybrid meetings and serve as a source of meeting planning expertise for program staff.
- Expertise preparing work products with attention to detail, accuracy and timeliness using common Microsoft Suite applications (e.g., Word, Excel, PowerPoint, Visio) and desktop publishing and graphics software.
- Able to plan and complete work on time, and coordinate administrative aspects of projects involving colleagues, including ability to track, provide status updates, and flag for the manager issues with completion of assignments.
- Ability or ability to learn how to maintain and update public-facing web pages.
- Experience organizing and maintaining both physical and electronic files in compliance with public records retention statutes.
- Ability to represent the Section in Public Health Division administrative meetings and disseminate and act on guidance received.

- The salary listed is the non-PERS qualifying salary range. If the successful candidate is PERS qualifying, the salary range will reflect the additional 6.95%. Review the Classification and Compensation page for more details on the classification.
