Position Summary

Manages the maintenance, repair, and refurbishment operations of one or more facilities. Implements policies and procedures that ensure the optimal functioning of buildings, grounds, and associated equipment. Monitors daily building operations of all systems, including mechanical, electrical, plumbing, HVAC, safety, and waste management to ensure reliability. Tracks work orders for quality, adherence to service standards, and budgeted guidelines. Oversees the work performed by vendors or contractors engaged for the purpose of maintaining the building systems. Handles accounts payable for all areas of need, including building operations and services.

Schedule: Monday through Friday, 20 hours per week

Key Duties and Responsibilities

The key duties and responsibilities of the Facilities Manager include, but are not limited to:

  • Planning and coordinating routine maintenance, repairs, and replacements for building systems. Including HVAC, plumbing, electrical, and lighting.
  • Handyman tasks.
  • Works with the facility engineer to make sure building grounds and systems are routinely inspected for safety hazards, maintenance needs, and code violations.
  • Creates and tracks service tickets for engineer and building vendors
  • Negotiates contracts with external vendors alongside senior leadership.
  • Develop emergency response plans and schedule annual drills.
  • Review coding of invoices by care centers and LLCs for consistency across the company and compliance with policies and procedures.
  • Verify bills are approved before paying.
  • Post invoices into computer system, research items as needed.
  • Filing.
  • Communicate accurate and pertinent information to Proliance physicians, employees, and vendors as necessary.
  • Work with care centers to resolve A/P issues, as necessary.
  • Research vendor statements: work with vendors to reconcile statements/invoices, as necessary.
  • Assist with other projects designated by management.
  • Become subject matter expert in assigned tasks.

Education/Experience

  • 3+ years Healthcare industry (hospital or ambulatory surgery center / ASC) experience
  • 1+ years of general building and facilities management
  • 1+ years of high volume, full-cycle A/P experience as plus
  • Experience with Excel

Knowledge, Skills and Abilities

  • Oversee contractors to ensure quality, timeliness, and compliance with standards.
  • Implement strategies to optimize energy usage and reduce costs.
  • Coordinate and manage regular facility maintenance to ensure operational efficiency.
  • Oversee day-to-day operations of the facility, ensuring safety and functionality.
  • Develop and execute preventive maintenance schedules to minimize downtime.
  • Optimize facility space to meet current and future needs.
  • Prioritize and schedule work orders to ensure timely completion with minimal disruption.
  • Experience using AvidXchange or Intacct a plus.
  • Proficiency in MSOffice and Adobe applications preferred.
  • Experience using Excel for compiling, tracking, importing, and validating data.
  • General knowledge of accounting and understanding of general ledger accounts.
  • Excellent problem-solving skills and professional judgement.
  • Basic data entry; 10-key proficiency.
  • Excellent phone etiquette and ability to communicate effectively.
  • Ability to maintain composure in stressful situations.
  • Ability to sit for long periods of time.
  • Must maintain an appropriate standard of confidentiality.
  • Ability to work independently, with little supervision – including remote work.
  • Excellent public relations skills - patient, pleasant, and diplomatic attitude.
