As our Facility OperationsCoordinator, you will provide administrative, operational, and financial support to keep our venues running at their best. From managing work orders to coordinating vendors and tracking budgets, you’ll help ensure Moda Center, Veterans Memorial Coliseum, and our affiliated facilities are safe, efficient, and ready for events of all sizes. You’ll be a key connector—working with internal teams, tenants, and contractors to make sure everything runs smoothly, sustainably, and on schedule.

DAY-TO-DAY:

Administrative & Operational Support:

  • Maintain calendars, coordinate meetings, arrange travel, and prepare documents for the Facility Operations leadership team.
  • Support the development and routing of RFPs, contracts, and capital purchase orders; coordinate site walk-throughs with vendors.
  • Help compile materials for the annual operating and capital budget process.
  • Maintain complete, organized physical and digital records of contracts, invoices, purchase orders, and facility documentation.

Work Order & Vendor Coordination:

  • Administer the CMMS platform to input, assign, and track work orders, maintenance requests, and preventive maintenance tasks.
  • Log, submit, and monitor facility-related service tickets from internal departments; escalate issues to engineers or facilities teams as needed.
  • Track vendor performance and coordinate daily and project-based scheduling with contractors and suppliers.
  • Serve as liaison to internal departments and tenants to ensure effective communication of operational needs.

Financial Administration & Reporting:

  • Reconcile monthly credit card statements and ensure accurate coding of departmental expenses.
  • Process invoices and enter facility-related purchases into financial systems.
  • Assist in the tracking and reporting of KPIs related to utilities, energy use, and facility performance for internal and board-level reporting.

Special Projects & Compliance:

  • Support LEED documentation and sustainability initiatives in collaboration with the Director of Sustainability.
  • Support emergency preparedness documentation, evacuation plans, and Workplace Safety Committee logistics.
  • Maintain compliance records including insurance, certifications, permits, and health and safety procedures.

  • Excellent organizational and communication skills with strong attention to detail.
  • Professional demeanor and customer service orientation; strong interpersonal skills to work effectively across departments, vendors, contractors, and tenants.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment while maintaining accuracy and meeting commitments.
  • Self-motivated, proactive, and capable of working independently with minimal supervision.
  • Strong problem-solving skills with the ability to identify issues, determine root causes, and coordinate timely resolutions.
  • Adaptability to shifting priorities in an event-driven or operational environment.
  • Ability to maintain confidentiality and discretion when handling sensitive documents and information.
  • Understanding of OSHA standards, workplace safety practices, and emergency preparedness procedures.

WE’D BE THRILLED IF YOU ALSO HAVE:

  • Experience with vendor coordination, work order systems (e.g., CMMS), or building management systems such as SharePoint.
  • Familiarity with budgeting processes, expense tracking, and building systems terminology.
  • Background supporting sustainability programs, energy reporting, or LEED certification efforts.
  • Experience with data tracking and analysis related to facilities, utilities, or environmental performance.
  • Knowledge of event-driven operations in a large venue or multi-facility environment.
