The Project Coordinator supports project execution by managing bids, contracts, documentation, procurement, budgeting, communication, and project lifecycle tasks. They coordinate subcontractor proposals and bid processes, handle contract and change order documentation, maintain project records (like RFIs and submittals), oversee purchasing, track budgets and invoices, and ensure smooth communication across teams and systems. They also manage administrative tasks during project start-up and close-out.

Project Coordinator Duties:

  • Bid Coordination: Developing and managing the bid tracker, providing the solicitation and bid coordination with subcontractors, obtaining and coordinating subcontractor proposals, obtaining and coordinating RFP files, and coordinating the proposal with the internal team.
  • Contracts: Coordinating contract documents, including the prime contract, subcontractor agreements, Prime Contract change orders, subcontract change orders, and internal changes.
  • Documentation & Administration: Managing project documentation, including contracts, amendments, RFIs, material submittals, administrative submittals, project documents, etc.
  • Procurement: Manage the procurement of materials and equipment, including issuing purchase orders.
  • Budget Tracking: Assisting in monitoring project costs, budgets, preparing invoices, and managing subcontractor invoices.
  • Communication: Work with Aleut support organization contacts to keep projects administratively organized and moving forward through SharePoint, Cost Point, Raken, etc.
  • Start-Up/Close-Out: Managing administrative start-up and close-out of projects.

EDUCATION/TRAINING:

  • Bachelor’s degree in a related field, or equivalent experience with 2–4 years of experience in construction project coordination or project controls.
  • Strong knowledge of project management principles, including budgeting, job costing, procurement, and contract administration.
  • Strong experience with Microsoft Office products.
  • Demonstrated experience in formatting and printing technical documents.
  • Strong knowledge of the submittals
  • Familiarity with safe work practices and policies, as well as safe driving rules and practices.
