Description

The Human Resources Assistant performs work of moderate difficulty in human resources and benefits administration. In addition, provides administrative support to the Human Resources team on all personnel matters. This role is responsible for a variety of tasks, including clerical, data entry, systems management.

Duties and Responsibilities include the following:

1. Performs customer service functions by answering employee requests and questions, escalating issues to Human Resources team as needed.

2. Work with HR Onboarding Coordinator in the Administration of the Drug Free Workplace Program by notifying managers and field personnel of random selection list.

3. Submit and monitor I-9 and E-Verify program for all non-bargaining employees, ensuring every single I-9 is completed 100% correctly and going through the various steps to achieve any needed corrections or changes.

4. Conduct I-9 auditing annually to ensure record retention schedule complies for terminated and existing employees.

5. Run all necessary background checks and clearing with the manager requesting the check for all non-bargaining employees. Each check will have its own GL code that will be needed in billing the checks.

6. Complete Blueline monthly recap during the first few weeks of the following month, separating the different coding to match our GL codes and itemize invoice.

7. Work with HR Onboarding Coordinator to print out and ship required labor law posters for all other offices.

8. Serve as a backup to the HR Coordinator/Generalist on verification of employments in accordance with EC Company policy.

9. Runs monthly birthday and anniversary report, sending to necessary personnel, and changing out lists at the end of each month.

10. Assists Talent Recruiter by posting and maintaining all company jobs to appropriate government and other obligatory website, maintaining compliance in wording and duration.

11. Assists Talent recruiter in the review and screening of applications that come through government posting and subsequent sites.

12. Daily and/or weekly electronic document retention processing for employee files in HRIS software.

13. Assists Human Resources team with various research projects and/or special projects.

14. Schedules meetings/trainings by reserving conference rooms for the HR department.

15. Makes photocopies, fax documents, scan relevant employer and employee documents, and performs other clerical functions.

16. Other duties as assigned.


Requirements

  • Foundational HR knowledge with a high school diploma or associate’s degree required familiarity with HR policies, procedures, and employment practices.
  • Strong administrative and organizational skills, including scheduling, document management, filing, and maintaining accurate employee records
  • Experience with HR systems and office software, such as HRIS platforms, Microsoft Office (Excel, Word, Outlook), and data entry tools
  • Excellent communication and interpersonal skills to support employees, handle confidential information, and coordinate with internal stakeholders
  • Attention to detail and compliance mindset, with the ability to assist with onboarding, benefits administration, audits, and basic payroll or timekeeping tasks

Benefits

Salary range for this position is $50,000-$56,000 annually.

Opportunity for a discretionary year-end bonus.
