Job Synopsis

This position helps keep IT operations, reporting, and meetings running smoothly, with a focus on accuracy, organization, and follow-through. The right candidate learns new systems quickly, uses good judgment to know when to take initiative and when to ask questions, and helps colleagues stay on track by bringing structure to shared processes. This role combines day-to-day tasks with opportunities to document procedures, improve workflows, and make the IT team more efficient, with room to grow into broader IT coordination and support responsibilities.

FTE and Schedule: FTE 1.0. Regular schedule is 40 hours/week Monday-Friday during regular business hours. Occasionally needed outside of business hours for scheduled support of groups needing assistance with in-room audio/visual equipment.
Hybrid working arrangement is possible with a minimum of one day/week in the office.

Essential:

· Strong written and verbal communication skills.

· Demonstrated ability to balance initiative with good judgment on when to escalate questions or decisions.

· Detail-oriented, with strong organizational and time management skills.

· Proven ability to learn new systems quickly and adapt to changing processes.

· Flexibility/adaptability in a role that spans IT, data, and operations.

· 2+ years in administrative or operations roles, ideally in a tech or nonprofit setting.

· Proficiency in Microsoft Office tools (Outlook, Word, Excel, etc.)

· Demonstrated familiarity with virtual meeting technology (Zoom, Teams, etc.)

· Discretion with sensitive data and staff information.

· Willingness to be trained in audio/visual equipment support for meetings/events.

Preferred:

· Bachelor’s degree or equivalent experience/certification

· Experience with ticketing systems (e.g., Jira, Zendesk, Freshdesk).

· Experience with data and reporting systems (Power BI, Tableau)

· Familiarity with identity/access management tools (e.g., Microsoft Entra, Okta).

· Budgeting or accounting tool experience.

· Interest in growing into a more technical IT support or operations role.

· Previous experience supporting audio/visual equipment for meetings/events.

Key Responsibilities

Administrative & Operational Support - 50% of role

· Assist with scheduling and communications for IT Director and leadership team.

· Manage logistics for in-person events.

· Maintain and update IT documentation, knowledge base, playbooks, policies, and procedures.

· Support purchasing, licensing renewals, contract lifecycles, and vendor communication.

· Assist with budget tracking, procurement documentation, and invoice reconciliation.

· Create dashboards and reports to support IT metrics and planning on hardware/software usage, ticket volumes, and budget tracking.

· Research and recommend process improvements, tracking systems, or collaborative tools to streamline operations.

Asset & Inventory Management - 20% of role

· Maintain hardware and software inventory, ensuring accurate logging and lifecycle tracking.

· Reconcile inventory with purchasing records and asset assignments. Lead annual inventory audits with summary reporting.

· Coordinate workstation replacement scheduling and logistics

· Monitor software subscription utilization and flag overages, renewals, or cost-saving opportunities.

User Lifecycle and Compliance Support - 20% of role

· Support employee onboarding with HR, managers, IT staff, and new hires to ensure proper provisioning of accounts, tools, and access. Maintain onboarding checklists, track progress, and provide timely updates to stakeholders.

· Support employee offboarding processes by ensuring prompt access removal and equipment return. Track outstanding tasks, follow up with staff, and confirm documentation for compliance and security.

· Audit staff system permissions for role alignment, document changes, and resolve exceptions. Collaborate on reviews and support compliance checks on user accounts.

Meeting Support - 10% of role

· Prepare and manage agendas, organize meeting notes and follow-up tasks, and provide administrative support during department meetings and presentations.

· Assist with audio/visual support for internal and external groups who use meeting facilities on premises.

· Document routine A/V procedures for on-premises meeting spaces and provide light training when needed.

· Occasionally be available outside of business hours for scheduled support of internal or external groups needing A/V assistance with meeting facilities.

Other duties as assigned on a temporary basis.

Salary Details

Base salary: $22.51. Starting salary may be adjusted up to $25.01 based on previous experience.

Additional Information

Supervision: This position does not have supervisory responsibilities.

Travel expectations: Travel up to 5 nights away per year within the U.S. or Canada

Physical activity/demands:

· Occasionally moving about to accomplish tasks or move from one worksite to another.

· Occasionally light work that includes moving objects up to 20 pounds.

· Constantly repeating motions that may include the wrists, hands and/or fingers.

· Constantly assessing the accuracy, neatness and thoroughness of work assigned.

· This position is not regularly exposed to adverse environmental conditions.

Location Description

This position is based in MCC's US office in Akron, Pennsylvania.
