POSITION SUMMARY

The Logistics Administrator supports the logistics team by managing accounting administration, documentation, and reporting activities necessary to keep daily operations running smoothly. This role focuses on accurate execution of established procedures, financial support tasks, and administrative coordination to ensure compliance, efficiency, and timely processing of logistics-related information.

RESPONSIBILITIES
  • Accurately code invoices and manage cost codes to support timely review, approval, and payment.
  • Coordinate with clients and suppliers to resolve billing discrepancies and support accurate invoicing.
  • Assemble and submit monthly client pay requests and track payment status.
  • Generate and maintain financial and administrative reports; identify discrepancies or issues and escalate as appropriate.
  • Collect, track, and maintain supplier insurance documentation, including Certificates of Insurance (COIs), and coordinate resolution of discrepancies with suppliers and risk teams.
  • Support new supplier setup and prequalification by collecting required information and coordinating with contracting and risk partners.
  • Maintain proficiency in logistics and financial systems, templates, and tools used for tracking, reporting, and documentation.
  • Ensure all documentation is accurate, complete, and filed in accordance with established naming conventions and standard operating procedures (SOPs).
  • Identify administrative process inefficiencies and support improvements that increase accuracy, consistency, and efficiency.
QUALIFICATIONS
  • High school diploma or equivalent required; coursework or experience in accounting, business administration, logistics, or a related field preferred.
  • 02 years of experience in an administrative, accounting, logistics, or operations support role preferred.
  • Strong attention to detail with the ability to work accurately with invoices, cost codes, and financial documentation.
  • Basic understanding of invoicing, billing processes, or financial reporting preferred.
  • Ability to manage assigned tasks, meet deadlines, and follow established procedures in a structured environment.
  • Clear written and verbal communication skills, with the ability to raise issues or discrepancies in a timely manner.
  • Proficiency in Microsoft Excel and Word; familiarity with Smartsheet or similar tracking tools preferred.
  • Strong work ethic, reliability, and a team-oriented mindset.
  • Able to work in a fast-paced environment.
  • Must be mobile within the assigned metro area.
