Job Title: Mailroom Quality Assurance Specialist

Department: Operations

Reports to: Manager, Quality & Operations Support

Position Description:

We are seeking a detail-oriented individual to join our team as a Mailroom Quality Assurance Specialist. The primary responsibilities of this role include auditing letter generation reports, ensuring compliance with service level agreements, maintaining mail logs, and supporting mailroom operations. The ideal candidate will possess strong computer skills, including proficiency in Microsoft Word and Excel, and will work closely with compliance and leadership to ensure adherence to regulations.

Office Location:

  • Office located at 7600 North 16th Street, Suite 140 Phoenix, AZ 85020 (Hybrid)

Shift:

  • Tuesday-Saturday

Responsibilities and Duties:

Responsibilities include, but are not limited to the following:

  • Audit letter generation reports and create or fix letters as needed.
  • Monitor reports to ensure vendor compliance with service level agreements.
  • Generate and maintain mail logs, ensuring they are accurately loaded into the system.
  • Ensure timely provision of letters to vendors according to established protocols.
  • Generate manual letters using provided templates and system data when necessary.
  • Generate, print, log and mail letters.
  • Collaborate with compliance teams to facilitate access to letter logs for audits.
  • Audit letter templates and content to ensure compliance with regulatory standards.

Qualifications:

  • This is a hybrid role and requires you to go to the office once a week at a minimum.
  • Must be able and willing to travel to corporate office as needed for role and duties.
  • Must have reliable internet service.
  • Must work Saturdays
  • Proficiency in Microsoft Word and Excel.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Ability to work independently and collaboratively within a team environment.
  • Strong communication and interpersonal skills.
  • Capable of following an issue through to its conclusion
  • Must be able to work at a fast pace managing large amounts of responsibilities while maintaining attention to details.
  • Highly self-motivated and able to work with minimal supervision
  • Must be able to sit at desk in front of computer for long periods of time.
