We are currently looking for a Mailroom Quality Assurance Specialist to join our growing team!

We are seeking a detail-oriented individual to join our team as a Mailroom Quality Assurance Specialist. The primary responsibilities of this role include auditing letter generation reports, ensuring compliance with service level agreements, maintaining mail logs, and supporting mailroom operations. The ideal candidate will possess strong computer skills, including proficiency in Microsoft Word and Excel, and will work closely with compliance and leadership to ensure adherence to regulations.

Office Location:

  • 2415 E. Camelback Road, Phoenix AZ (On Site)

Schedule:

  • Part time Employee Monday - Saturday.
  • Monday and Saturday are required.
  • Shift until 6PM required.
  • May include weekends and Holidays.

Responsibilities and Duties:

Responsibilities include, but are not limited to the following:

  1. Audit letter generation reports and create or fix letters as needed.
  2. Generate, print, log, and processing outgoing mail.
  3. Generate and maintain mail logs, ensuring they accurately load into the systems.
  4. Generate manual letters using provided templates and internal tool and system data when necessary.
  5. Audit letter templates and content to ensure compliance with regulatory standards. Monitor reports to ensure vendor compliance with service level agreements.
  6. Ensure timely provision of letters to vendors according to established protocols.
  7. Collaborate with compliance teams to facilitate access to letter logs for audits.
  8. Processing incoming general and member return mail.

Qualifications and Personal Attributes:

  • Must be able to travel to corporate office to perform role and duties.
  • Microsoft product experience.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Highly self-motivated and able to work with minimal supervision.
  • Self-directed, flexible, cooperative, and exhibits the ability to work with minimal supervision.
  • Able to collaboratively within a team environment.
  • Strong communication and interpersonal skills.
  • Customer service oriented with good oral and written communication skills.
  • Able to maintain a high level of confidentiality and remain HIPAA compliant.
  • Capable of following an issue through to its conclusion.
  • Able to multitask in a fast-paced work environment while maintaining attention to details.
  • Able to remain calm under pressure and manage stressful situations.
  • Able to remain motivated and engaged while processing repetitive tasks.
  • Must be able to sit at desk in front of computer for extended periods of time.
