Position Summary

The Lead Medical Assistant acts as the primary go-to person for the MA team. Serving as the first point of contact for clinical questions, staff concerns, and patient escalations. Under the direction of the Clinical Supervisor, they are responsible for the day-to-day oversight of the MA staff and ensuring clinical operations run smoothly.

Key Duties and Responsibilities

The key duties and responsibilities of the MA Lead include, but are not limited to:

  • Team Leadership & Operations
    • Mentor and provide daily directions to medical assistant staff
    • Coordinate coverage for Medical Assistants planned time off
    • Ensure the team members are informed of new or updated policies and procedures.
    • Maintain accurate inventory counts and delegate to other team members.
    • Assist with training new medical assistants as needed.
    • Assist with recruiting and interviewing applicants.
    • Assist with the MA staff schedule; balance provider needs, patient volume, staff availability to always ensure adequate clinical coverage; distribute schedules in advance and adjust as needed for callouts or unexpected changes
  • Workflow Efficiency & Clinic Throughput
    • Oversee daily clinic flow to ensure patients move efficiently from check-in to check-out
    • Anticipate provider needs and adjust workflow to minimize delays and downtime
    • Manage real-time schedule changes, including add-ons, walk-ins, and urgent visits
    • Ensure exam rooms, equipment, and staff are prepared to support continuous patient flow
    • Identify bottlenecks and recommend process improvements to increase efficiency
    • Support medical assistants on rooming efficiency, turnover times, and provider preferences
    • Delegate MAs to review clinic schedules in advance to ensure correct appointment types and timing
    • Collaborate with scheduling/front office teams to correct errors
  • Compliance & Supply Chain – Assist Clinical Supervisor
    • Supply chain responsibilities for the MA team; delegate supply monitoring tasks to designated MAs
    • Establish a routine supply check process and ensure MAs complete counts consistently and report findings accurately
    • Proactively communicate supply needs to the supervisor in a timely manner.
    • Maintain a running inventory log and submit organized, accurate supply requests with quantities and urgency level
    • Model professional conduct, punctuality, and respectful communication with patients, staff, and providers at all times.
    • Ensure every patient is treated with dignity and compassion; reinforce a patient-first culture within the MA team.
    • Serve as the first-line responder for patient concerns; resolve at the clinical level when possible and escalate to the Clinical Supervisor without delay.
    • Maintain strict confidentiality of all patient and employee information in accordance with HIPAA and organizational policy.

Education/Experience

  • High school graduate or equivalent
  • Minimum of 2–3 years of clinical medical assisting experience required
  • Comprehensive knowledge of medical office and surgical scheduling requirements.
  • Proficiency in computer systems and technology.
  • Ability to learn and adapt quickly to new systems and technology
  • Demonstrated experience with orthopedic procedures, casting, splinting, injections, and wound care

Knowledge, Skills and Abilities

  • Strong clinical knowledge of orthopedic workflows, procedures, and patient care standards
  • Demonstrated leadership skills with the ability to guide, train, and support Medical Assistants
  • Excellent verbal and written communication skills across providers, staff, and patients
  • Ability to prioritize, delegate, and make sound decisions in a fast-paced clinical environment
  • Proficiency in EMR systems and clinical documentation
  • Strong organizational skills with attention to detail and accuracy in both clinical and administrative tasks
  • Ability to multitask effectively while maintaining high standards of patient care and team support
