Function of Position:

The Office Administrator is responsible for day-to-day office coordination, working closely with program staff to ensure that AmeriCorps members, host site staff, college personnel, and other constituencies are apprised of program procedures, information, and events.

*This is a temporary, grant funded position that may be renewed annually contingent upon availability of grant funding and performance reviews.

Examples of Duties & Responsibilities:

  • Drafts, types, proofs, edits, updates, copies, and distributes program information, correspondence and reports; processes mail and faxes; maintains mailing lists.
  • Establishes and maintains member, host site, and general office files.
  • Processes and records members' service record forms, processes biweekly living allowance payment information, and tracks member hours.
  • Assists in completing and updating member documentation, including forms for enrollment, health insurance, child care, education awards, loan forbearance, etc.
  • Coordinates meetings, facilities, and special events and follows up as necessary.
  • Greets and directs members and other visitors to appropriate staff, scheduling meetings when necessary.
  • Answers program phone lines and distributes messages; provides information to callers regarding program operation; completes follow-up mailings as requested.
  • Inventories and orders office supplies.
  • Processes requisition orders, purchase orders, invoices, petty cash, and travel and mileage forms; screens and checks bills for accuracy; follows up as necessary.
  • Assists as needed with program functions such as member recruitment, selection, enrollment, and evaluation; development and distribution of the program newsletter and other publications; and program promotion.
  • Performs other clerical duties as requested by project staff

Job Requirements:

Required Qualifications:

  • High school diploma or GED plus three years of paid, full-time (or equivalent part-time) secretarial experience OR a diploma/certificate in secretarial science, word processing or related area and two years of experience.

Knowledge, Skills and Abilities:

Ability to prioritize workload, manage multiple tasks and work in a fast-paced office environment. Flexibility, good organizational skills, and accuracy with details. Thorough knowledge of office terminology, practices, and procedures. Ability to compose correspondence and reports using proper grammar, punctuation, and spelling. Ability to complete complex clerical assignments independently, including understanding and following oral and written directions. Experience with computers, preferably including Word and Excel, and the ability to complete a mail merge. Ability to type accurately and at a satisfactory rate of speed (40 wpm). Ability to deal effectively with the public with tact, courtesy, and poise. Good judgment in handling confidential material and information.



Additional Information:

Salary: $25.00 per hour

Typical schedule: 20 hours per week; 10 am - 2 pm, Monday through Friday

This position involves primarily sedentary work, including prolonged periods of computer use and keyboarding. The role requires the ability to communicate effectively in verbal and written form. The position may involve occasionally lifting or moving items up to 10 pounds. Work is performed in a typical office environment with no adverse conditions. Occasional travel between campus buildings or to other local or out-of-town locations for meetings or conferences may be required.
