This position’s primary focus is as the first point of contact for clients at the Dental clinic sites providing excellent customer service. Ensures accurate patient demographic and financial information and collects patient fees according to established policies. This position is in a high volume, fast-paced environment where multitasking and use of several computer systems are essential to clinic operations.

The responsibility of this Office Assistant 2 includes but is not limited to the following:

  • Master the Dataverse: Seamlessly navigate databases, decode insurance intricacies, and ensure flawless patient registration in Epic. You'll be the guardian of accurate information.
  • Conquer Insurance Challenges: Dive headfirst into insurance issues, swiftly resolving roadblocks and keeping our Case Managers informed. You'll be the patient's advocate.
  • Orchestrate Financial Transactions: Handle co-pays and payments with precision, ensuring accurate account balances and unwavering adherence to policy. You'll be a financial rockstar.
  • Command the Communication Flow: Decipher priority messages, proactively update patient information, and confirm appointments with lightning speed. You'll be the communication dynamo.
  • Empower Patients with Essential Resources: Distribute vital resources like bus tickets and gift cards, meticulously tracking every transaction. You'll be a beacon of support.

Customer Service: Your Stage to Shine!

  • Be the Welcoming Force: Radiate positivity as the first point of contact, creating a warm and inviting atmosphere. You'll be the face of our clinic.
  • Navigate the Information Highway: Answer calls with clarity, provide essential information, and seamlessly connect patients with the right resources. You'll be the information guru.
  • Bridge the Communication Gap: Act as a liaison, relaying patient needs and ensuring seamless communication between staff and providers. You'll be the communication bridge.
  • Champion the Patient Experience: Proactively monitor wait times, anticipate needs, and swiftly address any concerns. You'll be the patient experience champion.
  • Master the Appointment System: Schedule appointments with precision, coordinate interpreters, and capture detailed notes. You'll be the Epic appointment master.
  • Be the Document Flow Architect: Receive, review, and distribute critical patient documents, ensuring seamless information flow. You will be the information traffic controller.

Document Handling: Your Realm of Efficiency!

  • Streamline Document Flow: Receive, review, and route critical patient documents with speed and accuracy. You'll be the master of document management and RightFax.
  • Prepare for Digital Transformation: Prepare documents for scanning and indexing, ensuring seamless integration into our electronic records. You will be the digital document prepper.
  • Facilitate Critical Communication: Assist medical staff with faxing, ensuring vital information reaches its destination.

Resource Management: Your Platform for Innovation!

  • Troubleshoot and Optimize: Resolve equipment issues with agility, ensuring smooth operations. You will be the tech problem solver.
  • Drive Project Execution: Manage downtime priorities and project lists with efficiency, ensuring timely completion of tasks. You will be the task master.
  • Fuel Collaborative Efforts: Support vital meetings and committees, contributing to clinic operations and process improvements. You will be a vital team player.

Minimum Qualifications:

Education/Training: Equivalent to the completion of the twelfth grade; AND

Experience:Two (2) years of general office support or customer service experience dealing directly with the public.

Preferred Qualifications/ Transferable Skills: You do not need to have the following preferred qualifications/ transferable skills to qualify. However, keep in mind we may consider some or all of the following when identifying the most qualified candidates. Please clearly explain on your application how you meet any of the following preferred qualifications/transferable skills.

  • Experience providing professional customer service to diverse communities.
  • Training or experience working with data entry, databases or Electronic Health Records Systems such as EPIC and RightFax.
  • Previous experience working in a medical or health related environment.
