The Women, Infants and Children (WIC) program Office Assistant Senior position is a senior clerical position. This position enters and maintains appointment schedules for certifying staff, schedules interpreters, provides backup support at the front desk and call center, assists in training and coaching OA2 staff, runs various reports and does follow up work, maintains accurate and organized records and files, orders supplies, provides support to the Program Supervisors and Operations Administrator, works cooperatively with teammates, and provides excellent customer service through each step.

As the Office Assistant Senior, you will:

  • Enter and maintain individual appointment and class schedules
  • Coordinate with Supervisors and OA Seniors at other WIC sites on staffing and scheduling issues
  • Work cooperatively and use positive and effective communication with co-workers and supervisors
  • Send text reminders for group education classes and complete follow up work
  • Prepare excel report to opt-in new participants, update participant information in texting software, monitoring accuracy of excel data and ensuring deadlines are met
  • Provide all services in a culturally appropriate and sensitive manner
  • Assist in orientation and training of new employees, assign duties and provide coaching to clerical staff
  • Order and maintain inventory of office items, such as: training material, forms, office supplies, equipment, etc.
  • Serve as the resource for computer or phone problems, policy and procedure questions, facilities problems and handling difficult participants
  • Facilitate meetings, take meeting minutes, communicate staffing updates/changes to staff
  • Use customer service skills and critical thinking to assist participants in person and over the phone with a variety of needs
  • Work cooperatively to share and manage call volume

Salary/Pay:Please be advised that the pay range listed for this position is intended to provide general guidance on the earning potential for the role. However, actual compensation will be determined in accordance with the Oregon Equal Pay Law and will take into account factors such as the candidate's relevant experience and education. Candidates should expect that initial offers will be made within the listed pay range and may not be at or near the top of the range.

Minimum Qualifications/Transferable Skills*:

  • Equivalent to the completion of the twelfth grade
  • Three (3) years of specialized and increasingly responsible office support experience dealing directly with the public

Schedule: Monday to Friday, 9:00 AM - 5:30 PM

Work Location: This position works onsite at a temporary location at the Rockwood Market Hall Building, 3rd Floor - Suite 310, 458 SE 185th Ave, Portland, OR 97233 and will eventually move to permanent location at 427 SE 187th Ave. Portland, OR 97230.
