
Operations & Technology Lead
ABOUT THE ROLE
The Operations & Technology Lead is the driver behind our firm-wide operations and client experience. This role is for someone who is deeply hands-on, sees the big picture, and isn’t afraid to work in the details. You turn priorities into organized action by leading operations, building workflows, improving systems, and supporting how the firm runs day to day.
You’ll implement firm-wide process development, help guide change as we grow, oversee core HR administration, and strengthen the client experience by turning ideas into practical, reliable systems. This includes coordinating across Leadership, Client Service & Operations, and Advisory Teams to ensure workflows, systems, and information flow accurately and efficiently—and that work moves forward and gets completed.
This does not require people management today, though it may evolve over time and could be a good fit for someone open to that growth.
Responsibilities:
Firm Operations & Strategic Execution
- Work closely with the Head of Operations and Leadership Team to coordinate firm-wide changes across teams and outside partners.
- Lead and project manage key firm initiatives, keeping work organized, moving forward, and well executed.
- Manage and support the firm’s technology tools, including evaluating new systems, improving existing ones, working with vendors, and keeping everything running smoothly.
- Support routine compliance, cybersecurity, and business continuity processes in collaboration with leadership and IT partners.
- Support leadership by maintaining a system that generates accurate and timely operational data, reporting, and key metrics to help guide decision-making.
- Act as the primary point of contact for outsourced providers and third-party vendors, coordinating both strategic guidance and implementation.
- Plan and coordinate our annual company retreat with input from the Leadership Team.
Operations & Client Service
- Build, implement, and continuously improve SOPs, processes, and workflows—working with subject matter experts in Client Service and Advisory to keep documentation clear, current, and scalable.
- Coordinate with the Client Service Team Lead to ensure Annual Client Service Workflows are on track and completed
- Manage vendor-built automations and tools, providing requirements, reviewing build progress, and performing detailed QA and adjustments needed to ensure systems function accurately and support operational workflows.
- Conduct data analysis projects related to client capacity, communication patterns, and service delivery, generating insights that inform operational decisions and improvements.
- Incorporate improvements to our client experience (including digital client experience) with an eye toward operational efficiency across the organization.
- Run reporting and data analysis related to client capacity, communication, or expansion of client services.
- Ensure the team is following compliance standards and protocols.
- Oversee billing, ensuring data accuracy, reconciling reports, and maintaining workflow integrity.
- Contribute to a culture of continuous improvement by spotting inefficiencies and suggesting smarter ways to work.
Human Resources
- Manage day-to-day HR operations, including ensuring benefit enrollments, performance reviews, salary increases, and bonuses are completed and submitted to the Leadership Team
- Lead our recruitment efforts by drafting job descriptions, screening resumes, and doing initial phone screens
SKILLS & EXPERIENCE
This role is a W-2, full-time position with the following ideal skills and experience, though we encourage candidates of all experience levels to apply.
- 4+ years of experience in an operations lead role that combines driving priorities with hands-on execution of firm-wide systems, technology, workflows, and data.
- Experience within a financial advisory practice, RIA, or professional services firm is highly preferred but not required.
- Ability to design and improve efficient processes, with a strong bias toward implementation and follow-through.
- Strong project management skills applied in an operations context, with experience managing multiple priorities across teams in a growing and fast-paced environment.
- Strong analytical, attention-to-detail, and problem-solving skills, using data and judgment to make sound, practical decisions.
- Excellent interpersonal and communication skills, with the ability to build trust and work effectively across teams and leadership.
- Working understanding of industry regulations and compliance standards (RIA / SEC preferred).
- Tech-forward operator who naturally leverages systems, data, and tools to solve operational problems and enable firm-wide execution.
- Comfort working hands-on with automation and data tools, including collaborating with vendors on implementations (e.g., Airtable, Zapier); familiarity with advisory platforms (e.g., Wealthbox, RightCapital, Holistiplan, Calendly) is a plus.

COMPENSATION & BENEFITS
The Senior Operations & Technology Lead is a W-2 position offering cash compensation (including salary and immediate team success bonus) of $85,000-$130,000 per year.
In addition, the role includes a $500/month health care stipend, a 3% employer 401k contribution, and a professional development allocation to support continued learning and growth. The benefits package includes 24 PTO/sick days, 3 volunteer days, and paid federal holidays.
