Job Summary

This position will support the Operations teams at the college, primarily focused on routine administrative tasks related to the Information Technology and Facilities Management Departments.

Job Duties:

Purchasing and Bill Payments:

  • Place Orders for Equipment and Supplies
  • Prepare and Submit BA850s and Procard Statements/Documentation
  • Prepare Monthly WEX reports for the M&O Fleet
  • Process Monthly bill payments

Documentation and Reporting:

  • Ensure accuracy of SPS sheets and safety compliance documentation
  • Keep various forms in the IT Dept. up to date
  • Keep Maintenance Records up to date and Schedule Maintenance as necessary for M&O Fleet
  • Keep the events Calendar up to date and ensure events are set up on time
  • Keep the HVAC Occupied/Unoccupied schedules correct and accurate
  • Keep the attendance and vacation schedule/calendar accurate and help schedule vacations accordingly
  • Manage Equipment Replacement Spreadsheet
  • Prepare PaperCut printing reports
  • Prepare Technology Team Meeting Notes

Additional Duties:

  • Facilitate Federal work study backend process/logistics
  • Post Tech tips/announcements to Brew that have been prepared ahead of time by Associate Vice President
  • All other duties as assigned by the VP of Operations

Minimum Qualifications:

  • Associate’s degree or equivalent
  • Must be able to work independently.
  • Detail-oriented, self-motivated, ability to work independently and adapt seamlessly to fast-paced, dynamic environments.
  • Skilled in engaging and supporting students from different cultural and socioeconomic backgrounds.
  • Excellent verbal and written communication skills.
  • Proven ability to manage multiple priorities effectively and meet tight deadlines.
  • Proficient in Microsoft Office (Excel, Forms, Outlook, Teams, SharePoint, Word).

Preferred Qualifications:

  • Prior administrative or clerical experience preferred.
  • Previous experience in a community college setting
