Job Summary
Workforce Solutions is seeking a dynamic and detail-oriented Part-Time Administrator to join our team. This position plays a key supporting role in helping our program coordinator stay on top of financial tasks, assisting our sales team with client follow-ups, and engaging with community partners to help grow our outreach efforts. The ideal candidate is a team player, highly organized, comfortable with data entry, and eager to jump in wherever needed to keep things running smoothly.
Job Duties:
Financial Support:
- Accurately enter and track financial data to support training invoices, billing, and project documentation.
- Assist the Program Coordinator with compiling reports and ensuring financial documentation is complete and up to date.
Sales & Client Support:
- Follow up with existing clients to identify additional training needs or opportunities for continued partnership.
- Provide administrative support for tracking sales efforts and customer communications.
Outreach & Relationship Building:
- Assist with communications to new and developing industry and community partners.
- Help maintain contact lists, outreach logs, and scheduling for meetings or events.
- Maintain Social Media Campaigns and ongoing Marketing plans, work with local marketing department to promote Workforce Solutions events and classes.
Testing Center Support:
- Provide administrative assistance in the Testing Center as needed (e.g., front desk support, scheduling, basic proctoring support).
General Support:
- Jump in where needed to support Workforce Solutions team projects, events, and day-to-day operations.
- Other duties as assigned.
Minimum Qualifications:
• High school diploma or equivalent required; some college or administrative training preferred.
• Previous experience in administrative support, customer service, or data entry is strongly preferred.
• Strong communication skills, both written and verbal.
• Comfortable using Microsoft Office (Word, Excel, Outlook) and willing to learn internal systems.
• Ability to manage multiple tasks and deadlines while maintaining a high level of accuracy and professionalism.
• Friendly, dependable, and flexible with a willingness to grow with the team.
