As our People & Culture Assistant – Part-Time, you will provide critical administrative support for the People & Culture team, serving as the friendly first point of contact for employee questions and requests. You’ll ensure inquiries are addressed quickly, accurately and professionally, guiding employees to the right resources and keeping processes running smoothly.
Our ideal candidate is an organized, detail-oriented professional with exceptional communication skills and a passion for delivering a positive, inclusive employee experience. We’re looking for someone who thrives in a rapidly changing environment, can handle confidential information with discretion, and is skilled in navigating systems and databases. DAY-TO-DAY:
- Primary point person for answering and assigning P&C inquiries through P&C Zendesk inbox and email, including but not limited to, username/password resets, unemployment claims and employment verifications, general benefits questions.
- Process employee terminations, including initiating workflows, updating records, and coordinating voluntary offboarding (e.g., exit interviews).
- Maintain and audit employee records and personnel data to ensure compliance.
- Support document and file management, including organizing and maintaining digital and physical employee records.
- Perform audits between systems (e.g., Jobvite and UKG) to ensure accurate employee data and status alignment.
- Serve as a notetaker or witness during employee relations investigations, when available.
- Support hiring efforts for internships and part-time employees during peak seasons (April–October), inclusive of organizing intern job descriptions, creating postings on Handshake, and scheduling panels.
- Assist with scheduling candidate interviews and provide onsite interview coordination (e.g., travel booking, parking, welcome gifts, etc.).
- Support Part Time Event onboarding by auditing task completion for new hires in Jobvite and partnering with the Cultural Engagement Specialist for hiring manager follow up.
- Oversee pre-employment background checks, partnering with the P&C Specialist and Director of P&C for considered backgrounds.
- In partnership with the Total Rewards Manager, support coordination of annual benefits fair.
- Assist in the creation of employee resource materials such as “How To” guides and Benefit journeys.

- Strong attention to detail, accuracy, and organization
- Advanced skills in Excel and database computer applications
- The ability to navigate systems and intranet sites for staff collaboration

- Excellent interpersonal skills, including written and verbal communication skills
- The ability to solve problems with a proactive attitude
- The ability to communicate effectively with a wide variety of individuals at all levels of the organization
- The ability to maintain the strictest level of confidentiality and express high standards of professionalism
- The ability to work evenings, weekends, and flexible hours as needed based on the demands of the business
- Strong understanding of federal, state, and local employment laws and regulations and the resourcefulness to find needed information.

- Experience with Ultimate Software (Ultipro), ABIMM, and/or Sharepoint
