
Probate Account Specialist - Collections
Summary:
We are seeking a compassionate and detail-oriented Probate Account Specialist to join our team. This role is responsible for managing accounts of deceased members with care and professionalism, ensuring that all processes are handled in accordance with legal, regulatory, and company standards.
Works effectively in a team environment. Acts as a liaison with members and outside agencies for questions or issues pertaining to past-due deceased accounts, taking appropriate action with the approval of management. Effectively utilizes resources to consistently provide outstanding service to members, branches and other departments. Demonstrates a service philosophy of owning issues through completion and exceeding service level expectations in every interaction to arrive at the best solutions for the membership.
Essential Functions & Responsibilities:
- Review and handle debts from deceased accounts, including unsecured loans and real estate secured loans. Ensure that any funds on deposit are identified, frozen, and applied towards the outstanding debts.
- Check county records for probate status and work with estate executors or administrators to facilitate debt recovery.
- Serve as the primary contact for attorneys, probate courts, next of kin, and other external agencies to obtain necessary information and resolve issues related to deceased accounts.
- Coordinate with internal departments (e.g. Legal, Lending Operations) to resolve account matters
- Verify documentation such as death certificates, probate documents, and letters of administration.
- Documents communication accurately and completely to provide continuity in conversation and protection for OnPoint.
- Maintains accurate and detailed records of collection efforts by documenting actions in the collection system.
- Ensures compliance with federal laws and internal policies, including understanding and applying asset verification procedures specific to deceased members.
- Prepare and provide accurate figures for reinstatements, payoffs, and other debt-related information as needed for legal and probate processes.
- Exercises good judgment, initiative and tact during communication with members, outside agencies and other internal employees.

Knowledge, Skills and Abilities:
- Provide professional, high-quality service to members.
- Knowledge of laws and regulations within the collections field.
- Knowledge and experience in recovery, foreclosure, bankruptcy and deceased account debt recovery.
- Contribute to a sense of teamwork and purpose within the department.
- Initiate operational efficiencies.
- Compliance with all security and confidentiality policies and procedures.
- Manages time and resources to ensure all work is completed accurately and on schedule.
- Effective verbal and written communication skills, ability to document procedures.
- Independently identify, analyze, and resolve member issues.
- Understanding of credit union operations, procedures and applicable regulations.
- Highly organized and ability to effectively multi-task.
- Accomplishes assignments and projects with general supervision and within tight timelines.
Qualifications:
- High School Diploma or equivalent required.
- Minimum of one year of successful work experience in a financial institution.
- Knowledge of FDCPA guidelines strongly desired.
- Strong verbal and written communication skills.
- 2+ years of recovery, collections, or deceased account management experience preferred.
