Interested candidates should apply to be considered. Essential Functions These are the job duties required of the position.Essential Functions
  • Reports directly to the department Contract Administrator and supports the project management team with project coordination, documentation file management, bidding, DCM submissions, purchase orders, agreements, change orders, and project closeout.
  • Manages project tasks as requested, documentation, and coordinating project activities, and organizing under the direction of University Project Managers and the Assistant Director, Engineering, Design and Construction.
  • Coordinates with the Alabama Department of Construction Management (DCM) to include, but not limited to the following tasks: DCM Owner/Architecture Engineering Agreements, DCM fees, DCM plan Submission, DCM Addendums, DCM reconciling of fees, DCM Substantial Completion letter, DCM One Year Inspections, and DCM Public School and College Authority (PSCA) funded document management.
  • Manages all front end specification documents to include, but not limited to the following tasks: prepares for all jobs, checks for DCM form updates, coordinates with Architects/Engineers and with the Assistant Director, Engineering, Design and Construction.
  • Manages all bid invitations, bid dates, bid advertisements and addendums with the Assistant Director, Engineering, Design and Construction, Project Managers, and Purchasing.
  • Prepares, coordinates, and processes all RFQ’s, letters of intent, notices to proceed, purchase orders, agreements, change orders, ASI’s, CORs, document routing for signatures, coordination with the Facilities Accounting Department and the University’s General Counsel.
  • Works with Facilities Accounting to help close out open purchase orders.
  • Organizes all project files to include, but not limited to the following tasks: creating job numbers, creating file tree folders, storing files in proper locations, helping other s to store files in the proper locations, collecting closeout documentation, locating and sending documents including drawings to approved requestors, and coordinating with Space Management for CAD file requests per the Engineering, Design and Construction CAD policy.
  • Uses departmental software to maintain files and project information.
  • Maintains a change order log on all projects and notifies Project Managers when getting close or over 10% of the construction cost.
  • Responsible for sending out campus outages and closures as requested.
  • Organizes and maintains all archives in accordance State Records Retention policies.
  • Sends out bi-weekly project report to other facility departments.
  • Maintains conference room schedules and meeting invitation as requested by the Assistant Director, Engineering, Design and Construction or Project Managers.
  • Manages office needs to include, but not limited to the following tasks: orders office supplies, maintains office equipment, computer center requests, and office furniture requests.
  • Manages and updates the Engineering, Design and Construction website using University Resources.
  • Regular and prompt attendance.
  • Ability to work schedule as defined and overtime as required.
  • Related duties as required.
