This role is fully on-site, at our Irvine location. Schedule is 8:30 am to 5:30 pm.
This individual will interact with both external parties and internal users. External parties include visitors, job applicants, mail carriers, facilities personnel, and walk-in customers. This position reports to the Vice President of Collateral and Document Custody.
The successful candidate is self-directed in work prioritization and demonstrates good judgment-making ability within the scope of the position’s areas of responsibility. The associate will perform all duties in accordance with AutoNation Finance policies and procedures and all state and federal regulations.
ESSENTIAL DUTIES
- Oversee front desk activities; receive and logs express mail packages; receive other package deliveries, prepare manifests for outgoing packages and notify recipients of delivered and sorted mail
- Coordinates and processes office supply ordering, including monitoring supply levels.
- Updates servicing system with dealer updates received via email and follows up on electronic communication
- Ability to handle multiple tasks with varying priorities in a dynamic environment, doing so efficiently and productively.
- Provides excellent customer service.
- Has excellent written and verbal communication skills
- Other duties as directed by manager.
EDUCATION AND EXPERIENCE
- Minimum high school diploma or equivalent.
- Bilingual in English/Spanish preferred.
- Minimum one-year previous experience in a receptionist, administrative assistant or customer service position.
- Knowledge or familiarity with the consumer financial services or DMV industry is a plus.
OFFICE EQUIPMENT, SOFTWARE & OPERATING SYSTEM KNOWLEDGE
- Familiar with Microsoft Office and Office365.
- Familiar with Microsoft Excel and Microsoft Word
- Familiar with web navigation and/or web-based applications.
- Familiar with the operation of a console-based telephone switchboard.
