Job Description

Pay Range: $25.00 to $28.00 Per Hour.

Position Purpose:

The Receptionist/Office Assistant position is the primary point of contact for the Boston Corporate Office which plays a vital role in the smooth functioning of the office.This candidate should maintain professionalism and efficiency in the workplace and assist with a variety of administrative support duties. The Receptionist serves as a face and voice of the Boston office. The ideal candidate will uphold a positive and welcoming environment that reflects Veolia's culture. A high sense of customer satisfaction, hospitality and customer service is required.

Primary Duties/Responsibilities:

Front Desk Operations:
  • Manage reception area and greet visitors professionally.
  • Answer calls, screen and direct them appropriately.
  • Troubleshoot and direct inquiries from the public and customers to appropriate departments.
  • Monitor visitor access and maintain security protocols.
  • Process incoming/outgoing mail and express shipping.
  • Maintain visitor log and coordinate building access.

Office Management:
  • Oversee conference room bookings using Kadence software.
  • Maintain office supplies inventory and kitchen areas.
  • Monitor and maintain office equipment.
  • Coordinate catering for meetings and social events including the Social Committee initiatives.
  • Support sustainability initiatives.

Administrative Support:
  • Provide clerical assistance to management team.
  • Process expense reports and invoices.
  • Maintain Administrative Google Drive.
  • Update employee email distribution lists.
  • Reconcile shipping invoices.
  • Support office projects as need.

Qualifications

Education/Experience/Background:
  • GED, advanced degree preferred.
  • Minimum two years prior reception/office assistant experience required.

Knowledge/Skills/Abilities:
  • A high sense of customer satisfaction, hospitality and customer service is required.
  • Familiarity and knowledge of the Google environment.
  • Able to work independently and handle a wide variety of situations, including conflict resolution and troubleshooting issues.
  • Excellent verbal/written communication, organizational, prioritization.
  • Time-management skills and attention to detail required.
  • Must have initiative, self-motivation, Demonstrate a professional, positive, and approachable demeanor in working and effectively communicating with a diverse group of people; Exercise discretion, judgment, tact and poise in handling highly sensitive and confidential information.
  • Proactive approach to each task to anticipate needs, establish contingency plans and minimize risks to ensure optimal outcomes.

Physical Requirements:
  • Spends most of time in an office environment. May be required to move or lift office supplies Must take care in moving or lifting office supplies.
  • While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee must occasionally lift, and or move up to 25 pounds.
  • Good Specific vision abilities required for this job include close vision, distance vision, color vision, and ability to adjust focus.
