This position reports to the Director of Collateral and Custody while offering support to various departments. The Records Administrator will work in close conjunction with the Records and Collateral Custodians and other AutoNation Finance team members to maintain compliance and mail support operations.
The successful candidate demonstrates initiative in work prioritization, is highly organized and detail-oriented, and shows superior judgment within the scope of their responsibilities. The associate will perform all duties in accordance with AutoNation Finance policies and procedures as well as all applicable state and federal regulations related to automotive finance recordkeeping.
This role is fully on-site, at our Irvine location. Schedule is 8:30 am to 5:30 pm starting at $20 hourly.
ESSENTIAL DUTIES
- Initiates daily print jobs for special mailing items
- Perform various Mail Center activities (sorting, metering, folding, inserting, delivery, pickup, etc.)
- Maintains mail/records room in a neat, tidy manner.
- Stocks copiers/printers with paper and envelopes.
- Maintain files and imaged records so they remain updated and easily accessible
- Sort, organize and scan a high volume of documents
- Using pc scanners, scans various types of records and documents
- Perform various file pulling projects and purging projects throughout the year
- Scans and uploads insurance policies to CIG’s insurance tracking service
- Sends out and requests time sensitive (electronic and paper) documents
- Assists Senior Records Custodian in custodial review process and all related tasks
- Orders, receives and maintains office supplies
- Perform special projects or other related work as required or requested. (Ongoing)

- Ability to stay focused on current task while getting many interruptions
- Ability to operate mailing, copy or scanning equipment
- Ability to work under time constraints and daily deadlines.
- Ability to adjust to procedural changes and updates to company policies
EDUCATION AND/OR EXPERIENCE:
- Minimum of a High School diploma or equivalent.
- Previous work experience in an office mail room environment is preferred. Prior document imaging or proof reading experience is a plus.
MACHINES, OFFICE EQUIPMENT & SOFTWARE
- Web navigation and/or web-based applications.
- Personal computer: Imaging software, Microsoft Word, Excel, and Outlook. Excel skills must be mid- level to advanced.
- 10-key calculator and QWERTY keyboard skills.
- Scanner, copier, mail postage machine & other general office equipment.
PHYSICAL DEMANDS
- Ability to lift boxes up to 25 pounds
- Ability to stand for 1-2 hrs. occasionally
