Job Summary
In collaboration with the BCTC Associate Dean of Student Records/Registrar and the Associate Registrar, the Assistant Registrar will assist with the maintenance, upkeep, security, and updating of BCTC Student Records and the planning and management of all records and registration-related functions.
Job Duties:
- Assists students with the tuition appeals process. Includes corresponding with students regarding eligibility and requirements. Responsible for collecting, organizing, and presenting information submitted by students to the tuition appeals committee. Communicates the appeal results to the students.
- Assists Associate Dean of Student Records/Registrar and Associate Registrar in student record processes for the College. This includes serving as a back-up to all teams within the Student Records Office. (registration, transfer and graduation). Processes universal student records duties as needed.
- Assists Associate Dean of Student Records/Registrar and the Associate Registrar with the graduation process. This includes conducting graduation audits, assisting with information sessions and directing student line-up and processional at the graduation ceremony.
- Serves as back up to the School Certifying Official and Anthology
- Assists with Program Applicability reports by entering course substitutions and exceptions into PeopleSoft.
- Monitors to ensure requests and/or questions that come to the Bluegrass Records email account are responded to in a timely manner. Follows customer service guidelines established for the office and abides by the guidelines of FERPA.
- Completes verification of social security number for NSC reporting.
- Resolves R2T4 issues by communicating with faculty and staff and gathering the required documentation.
- Serves as a consultant to faculty, staff, and students on KCTCS/BCTC academic rules and policies.
- Participates in professional organizations and professional development. Completes KCTCS mandatory training modules and attends other KCTCS and BCTC trainings as needed.
- Other duties as assigned.
Minimum Qualifications:
- Bachelor’s degree and four years related experience

- Bachelor's degree and six years related experience
- Strong Problem-Solving skills
- Supervisory experience
- Demonstrated understanding of the application of technology to deliver Records and Registration services.
- A proven record in working successfully with diverse populations
- A positive attitude and ability to plan and adapt to change
- Ability to collaborate effectively with college departments and cross-functional teams
- Strong interpersonal, oral and written communication skills
