This position reports to the Title & Dealer Administration Manager. This position will work in close conjunction with the Custody Department, Remarketing Department, and 3rd party Custodian. This position will also provide services to the Sales Department, Funding Department, Customer Service, Collections and Accounting.
The successful candidate will effectively communicate with dealers, outside vendors, management, and peers ensuring serviced dealerships are provided with exemplary and prompt customer service. They are self-directed in work prioritization, highly organized, detail-oriented, and demonstrates superior judgment-making ability within the scope of the position’s areas of responsibility. The associate will perform all duties in accordance with CIG Financial policies and procedures and all state and federal regulations.
ESSENTIAL DUTIES
- Handles sales rep and credit queue administration
- Handles all communication support to dealer base; updates system information as requested
- Prepares lien satisfactions and responds to requests from 3rd Party companies.
- Oversees title custody exceptions and follows up on needed title work or corrections
- Provides support of title activities including, but not limited to:
- Aging Titles
- Title Perfections
- Follows up on pending titles and title documents not received within an appropriate timeframe
- Processes repossession title paperwork and converts title into repossession title for Remarketing department.
- Maintains repo title log to ensure timely turn-around for repossession titles.
- Generates any outbound correspondence in relation to titles
- Handles customer service requests as they relate to titles
- Works closely with other team members in Custody/QA to ensure all dealer services related tasks are addressed timely.
- Communicates to necessary internal parties when collateral problems arise
- Perform special projects, audits or other related work as required or requested by manager of Dealer Services or VP of Collateral & Document Custody.
ESSENTIAL KNOWLEDGE, SKILL & LICENSES:
- Must possess strong attention to detail, problem-solving and organizational skills

- Ability to read and interpret information on systems and documents
- Strong analytical and communication skills.
- Must exhibit effective written and verbal communication skills
- Ability to manage workload through competing priorities
- Ability to adjust to procedural changes and volume shifts.
- Ability to work under time constraints and daily deadlines.
- Mental acuity to execute the duties of the position successfully
- Excellent and effective client relationship and communication skills required
EDUCATION AND/OR EXPERIENCE:
- Minimum of a High School diploma or equivalent.
- Previous work experience in an office mail room environment or prior document imaging experience is a plus.
- 3-5 years previous work experience in the consumer financial services industry, particularly automotive finance, prior audit, proofreading or quality control experience is preferred.
MACHINES, OFFICE EQUIPMENT & SOFTWARE
- Web navigation and/or web-based applications.
- Personal computer: Imaging software, Microsoft Word, Excel, and Outlook. Excel skills must be mid- level to advanced.
- 10-key calculator and QWERTY keyboard skills.
- Scanner, copier, mail postage machine & other general office equipment.
