Job Summary Provide advanced clerical support to the Program Director of Refugee and Immigrant Services and general refugee operations including creating blanket purchase orders, requisitions, purchase orders, and fund transfers. Assist program staff and student workers with providing basic desk functions and general refugee information. Essential Duties and Responsibilities include the following. Additional related duties may be assigned. <ul><li>Demonstrate sound judgement, reasoning skills, confidentiality, and discretion in all written and oral communications with all staff and refugee and immigrant participants while handling both frequent and non-routine office tasks.</li><li>Independently model excellent customer service with internal and external customers through all methods of contact.</li><li>Use independent judgement and minimal supervision to lead or direct all office support functions.</li><li>Read and route incoming mail, prepare outgoing mail, email, and faxes.</li><li>Coordinate schedules, make appointments, reserve facilities, and assist with travel arrangements for the program director and other support staff.</li><li>Resolve inquiries, troubleshoot problems, refer to appropriate departments, and provide information and resources as appropriate.</li><li>Maintain current knowledge of college and refugee and immigrant resources staff.</li><li>Independently prepare and/or revise correspondence, reports, and department forms and documents as necessary.</li><li>Prepare and/or process various forms, including pay processing forms, requisitions, travel documents, reimbursement documents and purchasing card (P-Card) reports</li><li>File completed documents, and purge files as appropriate, in accordance with statutory governmental regulations and college guidelines.</li><li>Provide oversight and support for programs that supply essential resources to refugee and immigrant participants, ensuring the staff, program participants, and outside agencies/funders have the tools and assistance needed for program success.</li><li>Coordinate, arrange, and attend meetings as needed, prepare agendas, reserve and prepare facilities, and record notes/minutes of meetings.</li><li>Order and maintain office and departmental supplies and arrange for equipment maintenance.</li><li>Regular attendance is required and expected.</li></ul>Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Job Description:Position Summary:The Admissions Representative is responsible for successfully recruiting certificate and degree-seeking students for their assigned group of programs at The Chicago School. The Admissions Representative is responsible for all phases of the admissions process, from initial contact through enrollment.Admissions Representatives who are assigned to a specific campus as their primary location will have responsibilities on campus and their presence will be required at that campus location.The ability to work evenings and weekends is required, as is occasional domestic travel.Principal Duties:<ul><li>Successfully recruit new students for assigned programs at The Chicago School, serving as their primary point of contact throughout the admissions process.</li><li>Complete a high level of outbound calls each day to reach prospective students. Inquiries will be assigned, and Admissions Representatives are expected to complete calls in accordance with established scripts and policies in a timely manner.</li><li>Respond to all new student inquiries quickly and maintain consistent communication with all assigned prospective students throughout the admissions process.</li><li>Conduct telephone-based, virtual, and in-person consultations to qualify prospective students, explain available academic programs, advise them on admission requirements, and ensure that all admission paperwork is completed properly.</li><li>Effectively maintain Salesforce database through inquiry management, proper documentation, logging of calls and activities, and a purposeful contact strategy.</li><li>Positively and professionally represent the university through telephone-based, virtual, and in-person meetings and events.</li><li>Perform other duties as assigned.</li></ul>Minimum Qualifications:<ul><li>A Bachelor’s degree from an accredited college or university.</li><li>Strong communication and listening skills.</li><li>Computer skills including experience using customer relationship management systems and the ability to learn new systems quickly.</li></ul>Preferred Qualifications:<ul><li>Previous admissions experience is preferred, but not required.</li></ul>Compensation &amp; BenefitsThis opportunity is budgeted at $$24.10-$25.64 base compensation.
