ResponsibilitiesManufacturing Administrator (Off Shift) - Plant 3This role provides administrative support to the manufacturing team, ensuring efficient execution of processes that align with the company’s processes and procedures.&nbsp; This position primarily supports production supervisors by having responsibility for and streamlining administrative tasks, facilitating communication that align with business strategies, and enhancing coordination across functional areas.&nbsp;The role will initially train on 1st shift to ensure a smooth onboarding and understanding of key processes. After training, one position will transition to 2nd shift and the other to 3rd shift, supporting off-shift production operations.Job Roles:<ul> <li>Organization and structure&nbsp;- detail and follow through oriented; maintains records; provides accurate information; coordinates and maintains records related to attendance, safety, quality, training, and others as applicable.</li> <li>Collaboration - effectively works with cross-functional teams to achieve common goals.</li> <li>Initiative - proactively identifies administrative bottlenecks, suggests improvements to streamline operations, and takes steps to address them.&nbsp; Contributes to the development and implementation of standardized systems to enhance efficiency across the value stream.&nbsp;</li> <li>Accountability - takes ownership of tasks and ensures deliverables are met on time.</li> <li>Adaptability&nbsp;- thrives in a fast-moving and dynamic environment, quickly adjusts to new priorities.</li> <li>Communication Liaison - acts as a central point of contact between operations and other functional teams (safety, quality, human resources, planning, engineering, etc.), ensuring clear communication of updates across teams.</li> <li>Confidentiality -&nbsp;maintains discretion and protects sensitive information.</li></ul>Job Responsibilities:<ul> <li>Ensures compliance with EHS standards in administrative processes.&nbsp; Tracks training due dates for required employee safety certifications.&nbsp;Maintains and organizes documentation for audits and compliance checks.&nbsp; Assists in organizing safety-related training.</li> <li>Maintains qualification records for qualified operators and technicians – tracks hours for qualifications, updates tracking and training system with qualifications, alerts management in advance of certification expiration timing, keeps training matrix updated.</li> <li>Collaborates with supervisors to maintain and meet compliance for overtime records by updating staffing lists/overtime rosters and meeting required record retention.&nbsp; Provides daily overtime reports to operations/manufacturing managers.&nbsp;</li> <li>Maintains accurate and timely records for employee requests and communicates to Human Resources – performs administrative support to supervisors to coordinate vacation requests and maintain department calendar, shift preferences, transfer requests, and other time &amp; attendance related activities.</li> <li>Assists supervisor with new hire on-boarding – reviews and maintains shift placement, prepares new hire / new to the job materials, assigns new hire locker, and conducts plant tour.</li> <li>Assists operations/manufacturing managers with KPI/metrics data reporting to ensure alignment with business objectives.&nbsp; Maintains project documentation of efficiency improvement activities and provides administrative support to track progress of kaizen events, provides updates to ensure timely follow-ups.&nbsp;</li> <li>Provides support with tracking capital expenditure, expense reporting and reconciliation.</li> <li>Coordinates scheduling for meetings, trainings and activities for operations/manufacturing managers and supervisors.&nbsp;</li> <li>Assists with draft communications – e.g., memos, toolbox talks, posting and updates management to ensure team alignment and promote a collaborative culture.</li> <li>Enters work orders that get routed to maintenance for equipment repair.</li> <li>Collects materials from on-site stores for supervisors.&nbsp;</li></ul>QualificationsBasic Requirements:<ul> <li>High school diploma or GED from an accredited institution.</li> <li>Minimum of two years general office, administrative, or staff assistant experience.</li> <li>Employees must be legally authorized to work in the United States.&nbsp; Verification of employment eligibility will be required at the time of hire.&nbsp; Visa sponsorship is not available for this position.</li></ul>Preferred Qualifications:<ul> <li>Administrative experience in a manufacturing environment</li> <li>Strong organizational skills with an ability to handle multiple tasks and priorities simultaneously.</li> <li>Excellent communication skills, both verbal and written.</li> <li>Proficiency in systems use for data gathering and reporting (e.g., Microsoft Excel, PowerPoint, Work Order, Time &amp; Attendance, ERP systems).</li> <li>Lean manufacturing and continuous improvement mindset preferred.</li> <li>Demonstrates a proactive and resourceful approach to problem-solving.</li> <li>High attention to detail and commitment to accuracy in administrative work.</li> <li>Understands and demonstrates confidentiality in work.&nbsp;</li></ul>About us Howmet Aerospace Inc.
