Job-Specific Responsibilities: Financial Systems ProgrammingSupporting the Director of Finance &amp; Operations’ needs with respect to financial reporting, budgeting, projections, and strategy, using a combination of Harvard systems, Excel, and other finance software as needed, build and maintain a model to produce accurate and timely monthly, quarterly, and annual financial reports. Reports and models should use high-level programming to automate tasks and allow Lab leadership to update as necessary.Support the Director of Finance &amp; Operations in programming and maintaining:<ul><li>A model for allocating staff effort across EdRedesign’s grants, ensuring proper utilization of grant funds;</li><li>A system for tracking expenses to actuals across all projects and departments.&nbsp;</li><li>A system for projecting expenses.</li><li>A system for 3-year projections of the financial standing of EdRedesign, including scenario planning.</li><li>A system for creating budgets for grant proposals and grant reporting.</li></ul>Financial Transactions<ul><li>Process all payment requests, ensuring timely payment and compliance with University policies and applicable contractual obligations – including, honoraria payments, vendor invoices, employee and non-employee reimbursements, fellowship payments.</li><li>Handle/troubleshoot supplier set-up and updates in Buy2Pay (resolving issues in a timely manner) and serve as resource to Lab staff on payment requests and supplier set-up.</li><li>Maintain tracking system for all payments requests.&nbsp;</li><li>Review corporate card reports and reconcile department card transactions in Concur.&nbsp;</li><li>Serve as the Lab’s P-Card administrator, including submit applications, review monthly transactions, maintain receipts, answer questions and serve as resource to all cardholders.&nbsp;</li><li>Collaborate with external departments on co-sponsored activities and cross-validated arrangements.&nbsp;</li></ul>Financial Administration<ul><li>Assist with fiscal month-end and year-end accounting and reconciliation, and other financial administration and financial operations tasks as assigned.</li><li>Apply financial policies, compliance, and accounting procedures to ensure financial compliance with Lab, HGSE, and University policies and procedures and applicable legal rules and regulations.</li><li>Work closely with Director of Finance to draft and implement departmental financial policies and procedures.</li><li>Review financial data/transactions for compliance with fund terms and conditions, funding availability, and fund allocation, and accuracy; make corrections, when necessary, by preparing journals.</li><li>Serve as a resource to Lab staff on transactional inquiries and financial/budgetary questions that require problem-solving and analytic capability.</li><li>Makes recommendations on effective use of financial tools such as Chart of Accounts.</li></ul>Financial Reporting and Analysis<ul><li>Produce and distribute financial reports to help inform Lab leadership on resource allocation and decision-making.</li><li>Perform financial analysis and modeling to forecast income and expenses and report on financial status through quarterly variance analysis of budgeted, forecasted, and actual financial data.</li><li>Identify spending trends, recognizing potential budget or compliance issues, and make recommendations for informed, appropriate, and planful fund management, and other improvements and changes based on the information gleaned from analysis.</li><li>Prepare varied financial reports including budget-to-actuals and highlight key issues for Lab leadership.</li><li>Perform ad-hoc financial analyses as needed.&nbsp;</li></ul>Budgeting and Forecasting<ul><li>Work closely with Director of Finance to assist with preparation of annual budget documents and all budget-related processes.</li><li>Assist with development of domain or project-specific budgets as needed.</li><li>Perform financial analysis and modeling to forecast income and expenses; assist with multi-year forecasting.</li></ul>This position is a term appointment for one year from the date of hire, with a possibility of renewal based on operational need and funding.HGSE is currently developing dynamic workplace models which will actively support a combination of on-campus and remote work (within a state in which Harvard is registered to do business) where business and operational needs allow. The Program Manager is responsible to manage through supply disruptions and shortages of critical items to minimize the impact. Ensure adequate inventory of all new or promotional products is on hand in all locations to support the marketing efforts of our customers. Manage sell-through of inventory to limit financial exposure associated with obsolescence. Communicate within the organization, with customers and suppliers regarding promotional efforts or activity needed to successfully support the initiative. The purchase of promotional stocks has significant implications within the business. Dollar expenditures are routinely seven figures. Purchasing decisions impact division capacity and manpower planning as well as inbound freight. Failure to properly execute will result in losses for involved customers and badly tarnish the image of McLane. Repeated failures could lead to loss of the account. This position is based in Carrollton, TX, which will require the candidate to report and work from the office on a regular basis. Ensure information provided is accurate and sufficient to support the planned activity.</li><li>Identify and discuss potential risks and issues. Review and monitor new item and/or new vendor set up requests for reasonableness and accuracy of data.</li><li>Analyze and load promotional forecast data into purchasing system. Work with concept to address concerns with the forecast or promotional inventory build. Provide solutions to meet tight deadlines.</li><li>Purchase or monitor the purchase of all items across all divisions in support of chain promotional efforts. Monitor the build-up and sell-through of inventory to ensure against inventory obsolescence.</li><li>Work with suppliers to address fulfillment issues and raise concerns related to product supply chain issues such as packaging or handling requirements. Elevate issues to management and/or concept purchasing as required to ensure supply and product integrity.</li><li>Communicate to all affected parties the timing and special circumstances associated with promotions, new items, item replacements, limited time offers, toy items etc. Interactions will include Chain personnel, Franchisees, Distribution Centers, Pricing, Logistics, Accounting, IT and others.</li><li>Coordinate and monitor auto-shipments, restrictions or allocations to support chain or manage tight supplies.</li><li>Work with C.O.M. Team to ensure accuracy of customer order guides </li><li>Provide supply chain expertise. Participate in chain and/or concept purchasing group conference calls and business reviews, conferences, summits, etc.</li><li>Determine franchise- and store-level participation in promotions and special product offerings. Obtain documentation and maintain compliance with AIP requests.</li><li>Work with chain or brand customers/franchisees to address slow-moving and obsolete inventory.</li><li>Work with chain to ensure shelf-life matrices are constructed in a manner that allows efficient purchasing and minimizes spoilage.</li><li>Understand McLane Foodservice and chain quality/food safety requirements as they relate to inbound freight, product storage and recalls/withdrawals. Work with chain QA, DC and other parties to help resolve issues with inbound or received product.</li><li>Responsible for billing and collection of funds due resulting from inventory transfers, storage fees, product recalls, vendor shipping errors etc.</li><li>Manage special projects related to chains, inventory or other business needs involving supply chain.</li></ul> Qualifications you'll bring as a Program Manager: <ul><li>Bachelor's degree in business or related field.</li><li>Have 3 years purchasing experience in a high volume, high inventory turn environment.</li><li>Strong communication and interpersonal skills.</li><li>Demonstrated analytical skills with strong attention to detail.</li><li>Balanced judgment and prioritization skills when confronted with competing objectives.</li><li>Strong computer literacy with demonstrated ability in working with spreadsheets.</li><li>Prior foodservice industry experience in procurement, operations or sales. </li><li>This position requires the ability to read, write, and understand English at a level sufficient to perform job-related tasks effectively and safely.
